About The Position

The Early College & TRiO Assistant is the behind-the-scenes connector who keeps programs, people, paperwork, and opportunities moving. From welcoming students and families to coordinating Career Academies, field trips, and college-access events, you’ll help create experiences that connect local youth with their future. You’ll support Educational Talent Search, Upward Bound, and Early College programs through student records, grant tracking, purchasing, reporting, event coordination, and day-to-day communication. This is a great fit for someone who is organized, adaptable, comfortable juggling multiple priorities, and enjoys working with students from a variety of backgrounds. THIS IS A GRANT FUNDED, LIMITED-DURATION POSITION THROUGH July 31, 2027. Continued employment beyond July 31, 2027, is subject to grant funding and College needs.

Requirements

  • Two years general office/administrative work experience or combination of experience and associate degree required.
  • Licensed driver for a minimum of five years with clean driver record and be at least age 21 required.
  • Knowledge and experience in Microsoft Office, college and grant database systems strongly preferred.
  • Experience in handling multiple projects strongly preferred.
  • A.A. or A.A.S. degree preferred.

Responsibilities

  • Act as first point of contact for the programs providing information, scheduling appointments, answering phone calls, and responding to emails.
  • Help facilitate Career Academy lunches, orientation, transportation assistance, and attendance.
  • Monitor the ETS/UB web-based tracking system and student files for accuracy.
  • Work with director to prepare monthly contact reports and annual performance reports.
  • Prepare purchase orders, travel advances, and other office documents.
  • Prepare monthly grant expense reports and reconcile Banner financial reports and communicate any discrepancies to the Director and Finance office in a timely manner.
  • Maintain and ensures accuracy of student files and office paperwork.
  • Review ETS/UB applicants for eligibility requirements.
  • Create letters for both admitted and non-admitted participants, file all paperwork electronically, enter newly admitted participants into the database and communicate new participants with the advisors.
  • Updates social media accounts.
  • Schedule parent nights, staff meetings, FAFSA nights or other meetings as needed.
  • Assist, as needed, with after-school meetings, monthly seminars, and summer classes.
  • Assist with student trip planning including setting up arrangements, ordering buses, sign in sheets, preparing permission slips, inputting emergency contact information, creating evaluations, and chaperoning trips, as needed.
  • Troubleshoot issues with staff equipment.
  • Maintain relationships with middle and high school staff, college admissions staff, UCC departments, and community agencies to ensure the best services are available to students.
  • In coordination with the director and advisors, updates curriculum materials.
  • Maintain inventory list in compliance with UCC and Department of Education/Labor policies.
  • Help with Career Pathways tracking, student outreach and reporting.
  • Prepare ETS and UB informational email and/or newsletters for students and parents.
  • Order program and office supplies.
  • Handle confidential information in compliance with FERPA standards.
  • Drive students in UCC vans to events and field trips, as needed.
  • Works willingly as a team member, performing other duties as assigned by the director.
