About The Position

We are seeking a highly organized and detail-oriented Due Diligence Assistant to support our team in managing due diligence activities for petroleum-related assets, with a primary focus on truck stops and underground storage tank (UST) sites. This role combines administrative support, environmental report coordination, survey management, and document control to ensure all due diligence materials are accurately maintained, reviewed, and delivered on schedule.

Requirements

  • Associate’s or Bachelor’s degree preferred (Environmental Studies, Business Administration, or related field is a plus)
  • 1–3 years of experience in real estate, environmental services, due diligence, or petroleum industry support roles
  • Familiarity with environmental documentation and UST compliance is strongly preferred
  • Strong organizational skills with exceptional attention to detail
  • Proficiency in Microsoft Office Suite (especially Excel and Word); experience with SharePoint or document management systems is a plus
  • Excellent written and verbal communication skills

Nice To Haves

  • Understanding of federal and state UST regulations and environmental due diligence processes (ASTM standards, EPA guidelines)
  • Experience working on acquisitions, dispositions, or commercial real estate transactions involving fuel service properties
  • Familiarity with technical environmental data reporting

Responsibilities

  • Coordinate and schedule provider onsite visits and inspections
  • Maintain project tracking spreadsheets and update timelines
  • Assist in compiling and formatting professional due diligence packages
  • Order, receive, organize, and distribute environmental site assessments (Phase I ESAs), UST compliance reports, SPCC plans, and other regulatory documents
  • Review reports for completeness and escalate deficiencies or inconsistencies to the Due Diligence Manager
  • Liaise with environmental consultants and state agencies to obtain required documentation
  • Order and coordinate underground storage tank testing through preferred vendors to ensure tanks and lines are tight prior to the end of the due diligence period
  • Request, track, and compile boundary surveys, ALTA/NSPS land title surveys, zoning reports, and site plans
  • Work with attorneys, lenders, and buyers to facilitate survey updates and certifications needed for closing
  • Ensure all surveys meet project-specific requirements and delivery schedules
  • Maintain organized records of survey versions, comments, and updates
  • Assemble and format final due diligence reports incorporating internal reviews and third-party documents
  • Distribute reports to stakeholders (legal, environmental, real estate, and executive teams)
  • Maintain version control and proper document archiving per company protocols
  • Support tracking of environmental compliance issues related to UST systems (leak detection, registration, corrective actions, etc.)
  • Maintain summary logs of open issues and follow up on resolution milestones
