About The Position

The Donor Services Associate is a key team member responsible for ensuring the accuracy, integrity, and reliability of the Chicago History Museum’s database of record, Altru. This position manages the timely and precise processing of gifts, memberships, and donor records in accordance with established accounting procedures, the Donor Bill of Rights, and institutional best practices. The Donor Services Associate supports donor stewardship through the preparation and distribution of acknowledgements and tax receipts, and partners with the Finance and Accounting Department to support monthly reconciliation activities. This role also contributes to data-informed fundraising and engagement efforts through the development of reports, queries, and targeted constituent lists. This position requires a high level of attention to detail, discretion, and a commitment to data integrity.

Requirements

  • High School Diploma or equivalent required
  • Two-Three years of experience using a CRM, preferably Altru
  • Ability to work autonomously and as part of a team
  • Ability to work with diverse departments and professionals
  • Excellent attention to detail
  • Strong organizational and time management skills
  • Ability to execute multiple deadline-driven projects
  • Excellent oral and written communication skills
  • Advanced proficiency in Microsoft Word and Excel
  • Desire to contribute to and promote a positive culture and collegial atmosphere
  • Commitment to the mission, core values, and programs of the Chicago History Museum

Responsibilities

  • Processes and records gifts, pledges, and memberships in Altru with a high degree of accuracy and timeliness
  • Maintains and updates constituent records, ensuring completeness of demographic and biographical data
  • Generates routine and ad hoc reports, including batch commitment and weekly gift reports
  • Prepares and distributes donor acknowledgement letters
  • Records and maintains donor recognition preferences and ensures adherence to those preferences
  • Generates donor invoices and pledge reminders
  • Performs financial adjustments to gift records
  • Supports monthly reconciliation process
  • Manages gift documentation by scanning, saving, and attaching supporting materials to constituent and gift records
  • Completes matching gift applications and related donor forms
  • Communicates with donors and members to resolve discrepancies or obtain required documentation related to gift processing
  • Develops and executes database queries and generates targeted lists to support development, membership, and institutional communications initiatives
  • Contributes to ongoing data quality efforts and supports departmental reporting and analysis needs
  • Participates in departmental projects and initiatives as assigned
  • Ability to lift, carry, and otherwise move objects weighing 20lbs.
