About The Position

Join the Philanthropy team at the Arizona-Sonora Desert Museum as a motivated, driven, and collaborative Donor Data Specialist. This role is key to the Philanthropy and Development Team, executing administrative, clerical, database, and donor service functions. The position involves processing donations, donor acknowledgements, data recording and tracking, database cleanup, financial reporting, and mail list coordination. The ideal candidate can work independently, handle a variety of activities and confidential matters with accuracy and discretion, and is comfortable working under pressure.

Requirements

  • Associate's degree (A. A.) or equivalent from two-year College or technical school and two years’ related experience and/or training; or equivalent combination of education and experience.
  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to effectively and personably present information and respond to questions from groups of managers, clients, customers, donors, members, and the general public.
  • Ability to calculate figures and amounts such as fair market value, tax deductible amounts, discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
  • Ability to apply concepts of basic algebra and geometry.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, typed, texted, diagram, or schedule form.
  • Strong editing skills; meticulous grammar and spelling.
  • 10-key proficient and typing 75 w.p.m.

Responsibilities

  • Manage day-to-day administration of Blackbaud database, including daily gift processing, fulfillment of donations, donor acknowledgement, reporting, dashboard and list creation, and donor record management.
  • Maintain procedures to ensure accuracy and maintenance of donor and prospect database files in Blackbaud Raiser’s Edge NXT.
  • Manage recurring donation program, tribute tracking program, matching gifts, and quarterly updates for addresses, emails, phone numbers, and deceased individuals in the NXT database.
  • Track and maintain all appeal and fund numbers, and monitor accounts with third-party donation sites.
  • Execute detail-oriented record keeping of donations and accompanying documentation.
  • Maintain and improve existing systems and processes for efficient gift processing and acknowledgement.
  • Develop data entry guidelines and procedures for staff using the database.
  • Track and research donor questions, resolve complaints, and provide information to donors via various communication channels.
  • Collect and record receipts of contributions, use accounting codes, perform and record deposits, commit batches, and complete reconciliations in coordination with the Finance Office.
  • Assist with donor prospect research, wealth screening, and qualification.
  • Locate new supporters, revise existing donor records, and generate reports, prospect lists, and mailing lists.
  • Oversee various Annual Giving and online fundraising programs, online certification renewals, ASDM wish list tracking and acknowledgment, and other departmental priorities.
  • Send newsletters, promotional materials, and other publications to donors and mailing lists.
  • Execute list segmentation queries, exports, and prepare final mailing lists.
  • Assist in the coordination and implementation of fundraising appeals and campaigns, including donor solicitation letters, special mailings, and other confidential donor relations.
  • Assist in the production of, support, and attend special events both at the Museum and offsite.
  • Assist in supporting other staff and departments with cross-training on database management.
  • Aid in coaching and coordinating work of temporary employees and volunteers.
