About The Position

This position provides executive-level assistance to the Divisional Development Director, handling all administrative details and performing high-level office and complex administrative support duties. It is responsible for preparing and maintaining professional-level paperwork, including confidential and technical documents, and managing monthly production reports. The role also involves compiling and recording data for marketing campaigns, tracking program development, and ensuring adherence to Salvation Army policies. Additionally, the specialist acts as the expert for the Territorial Constituent Relationship Management database, monitoring and updating donor records, training users, and managing donation activity. This includes ensuring data accuracy between systems, reconciling databases, and serving as a point of contact for donor inquiries. Collaboration with the Divisional Finance Department and Territorial counterparts is required for proper disbursement of credit card donations and accurate processing of charges and refunds.

Requirements

  • Two year degree or college coursework, supplemented by secretarial courses from a technical or vocational school preferred.
  • Four years experience operating/maintaining a donor management system or similar database system or performing advanced level and/or executive level administrative work in a high volume office involving working with database systems or any equivalent combination of training and experience which provides the required knowledge, skills, and abilities.
  • Valid State Driver’s License.
  • Ability to meet attendance requirements.
  • Ability to read, write, and communicate the English language.

Responsibilities

  • Prepares and/or types a wide variety of professional-level paperwork including that of a confidential, complex, and/or technical nature with limited supervision and direction.
  • Ensures receipt, updates, and maintains monthly production reports.
  • Receives data regarding each marketing campaign; compiles and records information and statistics necessary to generate reports and distribute the same.
  • Tracks and reports program development information and progress.
  • Processes correspondence and special documents.
  • Ensures campaigns are administered in accordance with Salvation Army policies and procedures.
  • Serves as the expert in the Territorial Constituent Relationship Management database for offline and online fundraising.
  • Monitors and updates donor records as necessary.
  • Trains local users in group and individual settings.
  • Monitors, tracks and researches donation activity in established donor databases.
  • Ensures data transitions appropriately between each system and makes manual adjustments where necessary.
  • Ensures databases reconcile and finance records correspond to database activity.
  • Serves as a point of contact to donors who have questions regarding their donation.
  • Updates the donor management system as necessary.
  • Coordinates with the Divisional Finance Department to ensure proper disbursement of credit card donations.
  • Collaborates with Territorial counterparts to ensure accurate credit card charges and refunds occur.
