About The Position

The Documentation Support Specialist audits automotive dealership deals to ensure all required documentation is complete, accurate, and compliant with internal policies and state regulations. This position plays a key role in enabling efficient processing of vehicle tags and titles, supporting timely registration and overall operational accuracy. Requirements

  • Comfort working with documents, filing, and data entry on a daily basis.
  • General clerical and administrative support capabilities, including document control and record keeping.
  • Customer service orientation when interacting with dealership contacts and internal stakeholders.

Nice To Haves

  • Prior experience in administrative support, clerical work, or customer service is a plus but not required.
  • Interest in automotive, operations, or compliance-related work is preferred.
  • Experience with Microsoft Office tools beyond the basics is beneficial.
  • Background or familiarity with compliance auditing or document control processes is advantageous.

Responsibilities

  • Review and audit dealership deal documents to verify completeness and accuracy.
  • Ensure all required paperwork is collected, properly organized, and ready for title and tag processing.
  • Compare system records against physical or digital documentation to confirm consistency and accuracy.
  • Identify missing, incomplete, or incorrect documents and follow up with dealerships or internal teams to resolve discrepancies.
  • Maintain accurate, up-to-date records in internal systems and databases.
  • Track outstanding documentation and follow up regularly to ensure timely completion and processing.
  • Communicate professionally with internal teams and external partners to address documentation issues and provide updates.
  • Support the timely processing of vehicle titles and registrations by ensuring all documentation requirements are met.
  • Adhere to company policies and state regulations related to automotive documentation, data handling, and compliance.
  • Perform general clerical and administrative support tasks such as filing, document control, and data entry as needed.
