About The Position

Join Smart Data Solutions and be a part of our expanding, state-of-the-art operations facility! As a Document Operations Technician I, you’ll help launch and lead our mailroom operations—building processes, supporting a strong team, and driving success in a growing environment. A Document Operations Technician I is responsible for maintaining high levels of productivity and quality to align with performance standards, customer documented instructions, requirements, and Service Level Agreements (SLAs).

Requirements

  • Knowledge of scanner equipment and systems.
  • Demonstrated reliability with consistent attendance and punctuality.
  • Ability to accurately follow written and verbal instructions.
  • Willingness and ability to adapt to changing processes, priorities, and new equipment.
  • Strong organizational skills with a high level of attention to detail.
  • Effective time management skills with the ability to meet productivity and performance expectations.
  • Clear and professional verbal and written communication skills.
  • Proficient in basic computer operations, including data entry and use of standard office and scanning software.

Nice To Haves

  • A valid driver's license to operate company vehicles.

Responsibilities

  • Scan, archive, and perform quality control on documents (paper and film) with exceptional attention to detail and within established timeframes.
  • Independently operate, clean, troubleshoot and resolve common scanner and/or M-Sorter or system issues to minimize downtime and workflow disruptions.
  • Utilize the Marc cart to transport boxes or trays to the designated work/storage areas in accordance with retention and security requirements.
  • Maintain accurate, complete, and up-to-date scanner and/or M-Sorter logs, storage box logs, and company checklist documentation.
  • Perform destruction of documents to ensure compliance with customer requirements.
  • Complete document re-imaging in QuickClaim.
  • Retrieve mail from the post office in company issued vehicle.
  • Unload mail from company issued vehicle.
  • Ensure compliance with HiTRUST certification requirements, including: Working on one client at a time, Returning unprocessed mail to the designated P.O. Box shelf, Distributing processed mail to the correct scanning stations.
  • Perform other duties as assigned.
