As a Document Controller, in a unionized position, you will be responsible for coordinating, maintaining documents and records, enforcing project procedures across the company and discussing document quality assurance issues with engineering and other involved departments. In this role, you will be reporting to a manager, you are entrusted with generating accurate and detailed reports. In this role, you assist Engineers regarding documentation processes and queries. Requirements

  • College graduate in Business Administration or a technical subject from a college of recognized standing or equivalent experience resulting in a sound knowledge of some business principles, including open-mindedness, attention to detail, Understanding the intent of our policies and procedures, team player understanding all personalities and learning styles.
  • A minimum of 5 years experience in related field.
  • Knowledge and proficiency in the Document Management.
  • Knowledge and proficiency in Microsoft Office programs, Adobe Acrobat, Foxit and File Transfer Protocol.
  • Knowledge of the Records Management System.
  • Proficient in using computerized Document Management applications/Electronic Document Management Systems (EDMS).
  • Good organizational skills with accurate attention to detail, with the ability to establish priorities and work under pressure to meet schedules.
  • Good understanding of company and project requirements, and able to offer practical suggestions for Document Control involvement.
  • Good understanding of engineering and procurement documentation.
  • Self-starter, requiring minimum guidance.
  • Uses initiative to identify, investigate and solve problems.
  • Good understanding of the document security requirements through the document processing stages including restrictions and export permits.
  • Demonstrated capability of working under tight timelines.
  • Condition of hire – pass security clearance.

Nice To Haves

  • Knowledge and proficiency in Nuclear codes and standards like N286 specifically in the capture of documentation using enterprise management software.

Responsibilities

  • Administer and enforces all aspects of Document Control functions through established work processes and procedures for paper and electronic document management to meet all objectives.
  • Follows electronic workflows through our internal electronic document management system.
  • Coordinates document management activities with internal departments and clients by joining or creating online meetings to discuss the activities needed to release documentation inside and outside of the company.
  • Ensures quality of all drawings and documents prior to issue by reviewing quality assurance requirements electronically, as per established document control checklists.
  • Maintains and enforces project procedures associated with relevant Document Control/Record Management processes.
  • Produce and maintain documentation; receive, process and control deliverable and non-deliverable documentation using the Candu Electronic Document Management System.
  • Process, print and distribute documentation received from Candu, client, site, and suppliers.
  • Monitor and update document baseline.
  • Process and record requests for filing documentation received from Candu or third parties, include all supporting information, administrative and technical records.
  • Interface with internal and external service providers (e.g., courier, IT) to meet project schedules.
  • Coordinate all aspects of formal documentation shipments to customers and suppliers, including tracing of shipments with SP Courier Services if required by contract.
  • Ensure the established documentation work processes are implemented, followed, and maintained, including quality assurance checks to demonstrate conformance, thereby ensuring that accurate records are kept and maintained for proper audit trails.
  • Ensure the timely and accurate processing and recording of deliverables per project contractual obligations, to meet schedules and avoid monetary penalties/delayed placement of orders/inaccurate information.
  • Generate statistics and ad hoc reports; conduct system queries on the status of documents.
  • Assist Engineering regarding documentation processes and queries.
  • Assist Document Control team members by training and coaching.
