We are looking for a talented Document Control Specialist to join our dedicated team at our project site in Santa Clara, California. In this role, you will manage the storage and transmission of project documents produced by Springtide, our clients, vendors, subcontractors, and consultants.

Requirements

  • High School Diploma or equivalent.
  • 5+ years of document control experience in the A/E/C industry.
  • Must be able to stand, sit, and walk for prolonged periods.
  • Must possess the ability to stoop, kneel, crouch, and crawl as required.
  • Must be able to lift and move objects weighing up to 25 pounds.
  • Must be able to climb ladders as necessary.
  • Must be able to work in both indoor and outdoor environments, which may include exposure to varying working conditions.
  • Must be able to adhere to strict cleanroom gowning protocol.
  • This position will have some travel, or as required by the assigned project.
  • You may be assigned to a client site for an extended period.
  • Overnight travel or staying in the city of the Client’s location is possible, depending on the assignment.
  • You will visit construction sites and will be required to take site safety training and adhere to site safety rules.
  • Must have access to reliable transportation.
  • Must have the ability to travel and commute on a daily or routine basis.
  • This position is a safety-sensitive position.
  • The employee is designated for field work and attends activities at client sites where they work in construction, process, packaging, manufacturing, research, or other "non-administrative" areas.
  • All interviews are conducted either in person or virtually, with video required.

Responsibilities

  • Ensures compliance with corporate document conventions, including numbering and approvals.
  • Ensures compliance with project-specific document conventions, including numbering, approvals, and distribution lists and quality assurance requirements.
  • Works with Project Managers to establish document distribution plans for each assigned project.
  • Maintains document distribution systems and schedules for assigned projects based on client, project, and contractor requirements.
  • Expedites review, approval, and distribution of supplier and internally produced project documents.
  • Establishes and maintains paper and electronic files for the assigned project in accordance with corporate requirements.
  • Establishes and maintains electronic indices of project documents. Generates reports to meet project requirements.
  • Supports preparation of transmittals for engineering and procurement documents.
  • Arranges cataloging, packaging, long-term storage, and disposal of project documents at the time of project closeout.
  • Attends project coordination meetings as required.
  • Provides status of engineering documents, procurement documents, and submittals as requested by project and design managers.
  • Maintains personal competency in relevant professional areas.
