About The Position

WSP is seeking a Document Control Specialist to join our Project Controls team. This position can be based out of any of our locations across the US. The role involves supporting the Document Control Manager and Team to maintain a document management system for contract and project documents, ensuring policies and procedures are followed. The specialist will implement efficient work-flow processes, monitor daily activity, and make necessary modifications within the existing Electronic Document Management System (EDMS). Key responsibilities include providing document management support to the entire project team, retrieving files, uploading/downloading files, managing document naming conventions, numbering, assigning, and distribution. The role also entails processing incoming/outgoing documentation, maintaining electronic record files to comply with contractual requirements, and being familiar with Submittal and RFI Packages Procedure and Processes. Collaboration with project department leads to ensure timely processing of documentation is crucial, and occasionally managing the day-to-day operations of the Document Control Team may be required.

Requirements

  • Bachelor's Degree or equivalent experience
  • 1-3 years of project experience in a Document Control or similar role, working in transportation infrastructure development or the construction industry.
  • Must have experience with Microsoft Office
  • Excellent organization, coordination, and prioritizing skills.
  • Strong reading, comprehension, and written retention skills.
  • Exhibit good problem solving skills and superior attention to details.
  • Exceptional client relations and customer service skills.
  • Energetic, self-motivated, and quick to learn with a focus on continuous improvement.
  • Ability to work in a team or independently in a multi-disciplinary team environment.
  • Maintain confidentiality at all times.
  • Proven track record of upholding workplace safety and ability to abide by WSP’s health, safety and drug/alcohol and harassment policies.

  • The selected candidate must be authorized to work in the United States.

Nice To Haves

  • Experience with ProjectWise (ProjectWise Explorer and ProjectWise Deliverables Management), SharePoint, Bluebeam, Plan Grid, and Microsoft 365 is preferred.

Responsibilities
