The Documentation Systems Coordinator is responsible for the coordination of Controlled Documentation and Records at the Vancouver operation which includes but is not limited to: Creation and revision of procedures within the document management system. Maintenance, issuance and distribution of controlled procedures. Management and filing of key records, including off site storage.

Requirements

  • Normally some post-Secondary School education, related general office or administrative training or experience would be considered an asset.
  • Excellent written and verbal communication skills.
  • Must have excellent knowledge of Microsoft Office applications including Access and Excel.
  • Strong organizational skills and the ability to manage multiple priorities.

Responsibilities

  • Ensures all documents circulated for approval in the electronic document management system meet established procedures and standards related to format and in compliance with the change control procedure.
  • Ensures meta-data is appropriate and accurate.
  • Ensures appropriate parties are included on review and approval.
  • Creates, issues and distributes procedures in adherence to established control procedures that ensures accuracy and validity of the content and assigned control numbers.
  • Executes change management and issuance of new documents in a way that assures documentation is accurate and reconciliation is completed as required.
  • Ensures timely filing of prescribed records.
  • Coordinates onsite and offsite storage ensuring inventory is appropriately organized and catalogued and records can be readily achieved in audit settings.
  • Administers and actively monitors a variety of QMS databases.
  • Coordinates change requests and periodic review and other QMS databases as assigned.
  • Tracks timelines and actively drives closure for CFs, Periodic Reviews and Document approvals.
  • Highlights to management if items are not being completed as required.
