About The Position

The Docketing Administrator will provide support to clients, attorneys, paralegals and secretaries in all aspects of docketing and keep current on all U.S., PCT and foreign patent rules. The Docketing Administrator will report directly to the Docketing Supervisor and Manager of IP Prosecution Services.

Requirements

  • Bachelor’s Degree
  • A minimum of 3 years of docketing experience in a fast-paced law firm environment
  • Experience with global patent prosecution practice
  • Annuity monitoring and payment experience a plus
  • Strong attention to detail and ability to manage multiple tasks simultaneously and meet deadlines with minimum supervision
  • Sound judgment and ability to respect, protect and maintain highly confidential and sensitive information
  • Ability to quickly and proactively identify problems and develop solutions
  • Work independently and escalate concerns when needed
  • Excellent interpersonal, organizational and communication skills, and ability to communicate effectively, both written and verbal
  • Must work well in team environment and maintain a positive team atmosphere
  • Strong technical skills in Microsoft Word, Excel, and patent docketing software; ePCT and Foundation IP experience a plus
  • Willingness and flexibility to work overtime as needed

Nice To Haves

  • Experience with life sciences-based patent prosecution strongly preferred

Responsibilities

  • Maintain docketing database (Foundation IP) for all patents in U.S., PCT and foreign countries.
  • Work with attorneys and patent assistants, paralegals and foreign filing teams throughout all aspects of the patent filing process.
  • Manage and maintain internal patent docketing deadlines using electronic database and review previously entered data for accuracy, making corrections when necessary.
  • Handle docketing projects as assigned.
  • Review and process all incoming patent mail, including docketing dates and action reminders, from the U.S. Patent and Trademark Office (“USPTO”), Patent Cooperation Treaty (PCT), and foreign associates.
  • Correspond with foreign associates regarding docketing discrepancies and/or special projects, including transfers.
  • Review all filings to be submitted to the USPTO for completion and accuracy of format.
  • Monitor docketing finals report; send reminders to the legal team; follow up regarding all finals deadlines that have not been cleared each day; communicate to management all outstanding items.
  • Monitor and pay US and foreign maintenance fees and annuities using docketing system and 3rd party service provider.

Benefits

  • The anticipated compensation range for this position is $70,000 - $100,000.
