About The Position

This role involves coordinating durable medical equipment (DME) orders, verifying insurance, and ensuring timely delivery. It also includes Medical Assistant duties such as preparing patients for examinations, assisting providers, administering treatments, and performing basic clinical procedures. Additionally, administrative support is required, including answering patient questions, coordinating communication, and maintaining records. The position requires strong organizational skills, attention to detail, and the ability to work collaboratively in a fast-paced environment.

Requirements

  • High school diploma or equivalent required.
  • Familiarity with electronic medical records (EMR) systems.

  • Ability to work collaboratively in a fast-paced clinical environment.
  • Knowledge of HIPAA and healthcare compliance standards.

  • Work with minimal direction and assistance and frequent interruptions.
  • Must be able to multitask.
  • May come in contact with blood or body fluids so knowledge of aseptic technique and infection prevention i.e. PPE and hand washing imperative.

Nice To Haves

  • Medical Assistant certification preferred (CMA, RMA, or equivalent).
  • Previous experience in a medical office or healthcare setting preferred.
  • Knowledge of durable medical equipment processes and insurance authorization procedures is highly desirable.

Responsibilities

  • Process and coordinate durable medical equipment orders.
  • Verify patient insurance coverage and obtain prior authorizations when required.
  • Communicate with DME vendors to ensure timely delivery of equipment to patients.
  • Maintain accurate documentation of DME orders in the electronic medical record (EMR).
  • Educate patients on DME processes, usage instructions, and follow-up requirements.
  • Track pending orders and follow up on outstanding requests to prevent delays.
  • Ensure compliance with regulatory requirements and payer guidelines for DME documentation.
  • Collaborate and coordinate with multiple departments including providers, nursing staff, referrals, billing, and administrative teams to ensure accurate processing and completion of DME orders.
  • Prepare patients for examination including obtaining vital signs, medical histories, and medication reconciliation.
  • Assist providers during patient examinations and procedures as needed.
  • Administer injections, vaccines, and perform basic clinical procedures as directed by the provider.
  • Perform point-of-care testing and collect specimens as needed.
  • Document patient interactions, procedures, and results in the EMR.
  • Coordinate patient referrals, lab orders, and follow-up care.
  • Maintain exam rooms, supplies, and equipment.
  • Answer patient questions regarding equipment orders and clinical instructions.
  • Coordinate communication between patients, providers, vendors, and insurance companies.
  • Assist with scheduling or patient follow-up calls related to DME or clinical care.
  • Maintain organized records and ensure HIPAA compliance.
