The Distribution Specialist III role involves performing administrative and physical tasks related to the picking, shipping, receiving, storing, inventory control, and distribution of Gilead products. This includes tracking product movement in a computerized inventory system, maintaining accurate records, and executing transactions through internal and external computer systems, while troubleshooting any issues that may affect timelines. The specialist must consistently adhere to SOPs and cGMPs, research and resolve immediate task-related issues, and take independent action to ensure on-time material delivery and manage returns of unsuitable orders. Coordination with internal departments is essential for quick and accurate product distribution. Responsibilities also include notifying relevant departments of product status, physically examining shipments for specifications and paperwork matching, identifying and rectifying deviations, and operating machinery for physical handling, packaging, labeling, and moving shipments. Additionally, the role supports various warehouse projects aimed at process improvement or asset management.

Requirements

  • Bachelor’s degree and 0+ years of relevant experience; OR Associate degree and 2+ years of relevant experience; OR High school diploma and 3+ years of relevant experience
  • Works on assignments that range from routine to basic in nature where ability to recognize deviation from accepted practice is required.
  • Moderate working knowledge in one or more of the following areas: inventory control, materials management, receiving, and/or shipping/distribution.
  • Able to apply knowledge of Current Good Manufacturing Practices (cGMPs) on a daily basis.
  • Knowledge and proficiency in ERP system.
  • Able to work in a fast-paced team environment.
  • Good written communication and interpersonal skills.
  • Experience with class 1 or 2 power equipment usage.

Responsibilities

  • Performs administrative activities (i.e. procurement, document retention) and/or physical tasks involved in the picking, shipping, receiving, storing, inventory control and distributing of Gilead products/inventory.
  • Tracks all movement and handling of products in a computerized inventory system.
  • Organizes and maintains accurate records associated with Warehouse and Distribution activities.
  • Performs transactions associated with Warehouse and Distribution processes through internal and external computer systems, including troubleshooting to rectify issues which could impact Gilead timelines.
  • Adheres consistently to SOPs and cGMPs.
  • Researches and resolves issues associated with immediate tasks when applicable.
  • Takes independent action to ensure on-time delivery of material, and initiates action for return of rejected or unsuitable orders.
  • Coordinates with internal departments for quick, accurate distribution of products.
  • Notifies relevant departments as items are received, shipped or processed.
  • Physically examines incoming or outgoing shipments, products or samples to ensure they meet specifications and match paperwork.
  • Identifies and records deviations, and coordinates with internal or external departments to rectify discrepancies.
  • Performs, or operates machinery for physical handling of items, including assembling packaging, affixing shipping labels and instructions to packaging, moving shipments.
  • Support various projects within the warehouse related to process improvement or asset management.
