About The Position

The Distribution Administrator / Claims Researcher supports warehouse operations by coordinating appointments, managing shipping and receiving documentation, researching inventory issues, and performing audits and reconciliations. This role promotes accurate product movement, complete records, and timely resolution of operational and claims-related issues through strong clerical, inventory, and system-based support.

Requirements

  • High school diploma or equivalent.
  • Experience in office, warehouse, inventory, or logistics operations preferred; 3+ years of office experience preferred.
  • Strong computer proficiency required, including Microsoft Office.
  • Experience with SAP and BlueYonder preferred.
  • Must be able to prepare basic correspondence, work with spreadsheets, manage email communication, and perform system-based research and reporting.

Responsibilities

  • Coordinate and schedule loads while working closely with carriers and internal teams to support on-time appointments.
  • Monitor operations within a 48-hour planning window to identify and resolve errors before scheduled appointments.
  • Manage overweight and over-cube loads, record seal numbers, enter pallet counts, and close loads accurately.
  • Upload inbound and outbound paperwork to SharePoint and maintain logs, scans, files, and other operational records.
  • Communicate with guards, carriers, and internal departments regarding truck flow, arrival times, priority loads, detention verification, and related operational concerns.
  • Prepare, process, and verify shipping and receiving documentation, including bills of lading, proof of delivery, and purchase orders.
  • Research inventory discrepancies, lost product, suspended product, and purchase order variances using SAP and Blue Yonder.
  • Locate and reconcile product in the warehouse to improve inventory accuracy and reduce claim exposure.
  • Audit inbound and outbound loads, verify outbound paperwork, and ensure yard checks and load details are accurate and completed on time.
  • Count and confirm product on Food Safety Hold and assist with returns, tracking, and communication with Food Safety Quality Assurance.
  • Systematically damage out product as needed when reconciling.
  • Support general clerical operations, including paperwork audits, binder maintenance, temperature probe calibration, and front desk organization.
  • May be required to train others on your role or the other roles you support.
  • Perform other duties as assigned.
