About The Position

As a Dispatcher, this position is responsible for supervising drivers in the filling of orders, organizing delivery routes and schedules, generating Driver Logs, and signing out drivers, processing drivers’ paperwork upon their return, and coordinating local warehouse pick ups. Requirements

  • Ability to work all scheduled hours as needed.
  • If usage of employee’s own vehicle is required for company business, employee must obtain appropriate insurance per Company Policy.
  • Knowledge of product technology and application usually obtained through one or more years experience in division or other Company position or related experience in the Automotive Refinishing industry.
  • Employee must be licensed and able to operate vehicle in accordance with state law including commercial drivers license if required.
  • Must have acceptable driving record from State Motor Vehicle Bureau.
  • Candidates must submit to a drug screen.
  • Employee is required to lift and carry approximately 25 – 50 lbs. frequently and 75 – 100 lbs. on occasion.
  • The employee will spend approximately 20% of the time sitting, 60% standing, 10% walking, 10% stooping, climbing and kneeling.
  • In those stores where the employee is required to mix paint, the employee must be able to perceive color differences and wear safety equipment as required.
  • Must be able to tolerate non-toxic paint odors.
  • Employee must be able to operate lift truck and hand truck.
  • In those stores where employees may be required to make deliveries, the employee must be licensed and able to operate a car or truck.
  • Must be able to physically demonstrate paint and associated products by utilizing various product delivery systems such as spray guns and other related equipment.

Responsibilities

  • Supervises drivers in the filling of orders.
  • Organizes delivery routes and schedules.
  • Generates Driver Logs.
  • Signs out drivers.
  • Processes drivers’ paperwork upon their return.
  • Coordinates local warehouse pick ups.
  • Coordinates the dispatching functions with the Store Manager, Assistant Manager, and Counter Sales.
  • Coordinates, analyzes and assigns delivery routes insuring accuracy and timely delivery of customer orders.
  • Supervises, upon the return of drivers from their routes, the processing of monies collected, incomplete transactions and all other paperwork associated with deliveries and pickups with customers.
  • Fills and packages orders for the drivers.
  • Checks all materials loaded into a driver’s truck for delivery against the written invoice.
  • Ensures that all vehicles are carrying all necessary documentation according to motor vehicle regulations, including: insurance card, vehicle registration card as well as emergency equipment, i.e., fire extinguishers, emergency spill kits.
  • Creates Drivers Logs for all deliveries.
  • Trains new drivers on their delivery route and its demands.
  • Coordinates requests from store employees and Territory Managers, such as picking up material to be matched or making a special delivery, etc.
  • Collects various statistics to be used for improving the delivery system.
  • Encourages positive relationships among the drivers.
  • Compares outgoing invoices to the material loaded on the delivery trucks, both on normal routes and on rushes. Initials all invoices, indicating proper check out procedures have been followed.
  • Checks the Driver’s Log sheets, matching the invoice numbers to currency and cash collected.
  • Reviews all invoices for proper signature, customer P.O. if needed, that checks are written for the correct amount and that the check number is on the invoice.
  • Provides the Drivers Log Sheet, invoices, currency and checks to the Store Manager.
  • Follows up on unmade deliveries, problem deliveries, etc.
  • Instructs new drivers’ on safety requirements such as using seat belts, driving within the speed limit and road conditions.
  • Coordinates requests from inside counterperson, salesmen and customers. As an example, the Dispatcher may receive a call from a customer who would like an earlier or later delivery.
  • Reviews and analyzes all logged information and consequently advises management regarding how to improve delivery services, etc.
  • Advises the Store Manager of any difficulty with a driver’s performance or attitude.
  • Answer telephone in a professional manner, answer questions knowledgeably and/or take customers orders.
  • Give immediate attention to customer comments and complaints. In the event of a customer complaint; complete the appropriate non-conformance or corrective action form and forward to the Store Manager.
  • Monitor and track customer back orders.
  • Stocks shelves, counts materials arriving at the store, reports damaged shipments for insurance claims.
  • Directs drivers, upon completion of their delivery routes, in their additional job duties.
  • Maintains order in the store. This includes emptying all partially opened boxes, stock the shelves with overstocked items, ensuring that items are in their proper place, pulling damaged goods and reporting them to the Store Manager.
  • Properly dispose of waste cans and product in compliance with Company and Governmental regulations.
  • Know and perform duties of other store personnel as assigned.
  • Clean and maintain all areas and equipment as assigned.
  • Perform other duties as assigned.
  • Assist staff with periodic or annual store inventories.
  • Special projects as assigned.
