About The Position

Western is seeking to add to our existing administrative team in our Commercial Service Department. This role supports our Lead Commercial Dispatcher & Commercial HVAC Service Manager in running the day-to-day operation of the Commercial HVAC Service Department, and steps in as the primary dispatcher when the lead is unavailable, helping ensure we hit key company & departmental objectives. Responsibilities

  • Daily Dispatch Support: Assist the Lead Commercial Dispatcher with the past, current, and future day schedule — helping ensure clients & technicians are adequately supplied and prepared for their jobs, supporting efficient technician routing & opportunity capture, and coordinating with other departments on client handoff & task resolution.
  • Serve as the primary backup dispatcher when the lead is out, on PTO, or otherwise unavailable, taking full ownership of the board during those periods.
  • Service Admin: Complete a variety of tasks necessary to allow the department to run efficiently and effectively. These items are largely “backend” without direct impact on the current day’s schedule, and may include but are not limited to: national account invoicing & work order processing, service agreement creation & management, requesting & managing permits, and similar administrative functions.
  • Client Service: Serve as a friendly, professional point of contact for both new and existing clients. For new clients, gather job details, set expectations, and ensure a smooth handoff into scheduling. For existing member clients (service agreement holders), maintain strong ongoing relationships, coordinate recurring maintenance visits, respond promptly to requests, and ensure their membership benefits are delivered consistently.
  • Technician Accountability: Help monitor that assigned technicians are adhering to company policies and procedures throughout the day. This role does not carry direct supervisory authority — observed issues, performance concerns, or policy violations should be documented and escalated to the Commercial HVAC Service Manager or other appropriate leadership for resolution.
  • Team Collaboration: Work closely with technicians, leads, and other office personnel on a variety of collaborative matters.
  • Continued Education: Stay updated on industry best practices and participate in training sessions to enhance skills and knowledge in a variety of areas.
