About The Position

The Dispatch Clerk will be responsible for following the delivery/loading schedule in the ERP, gathering information for loading hours, ensuring repair packages are properly packed, and printing labels for stock packages. This role involves recording truck arrival times, informing drivers of loading schedules, communicating safety rules, and filling in the trailer tracking file. The clerk will also organize transfer orders, check the ZNKL list, maintain files with delivery information, and ensure order and cleanliness. Additionally, the position requires maintaining contact with Transport Planning, counting items during inventory, performing 5S audits, and respecting the environment and safety regulations. The clerk will provide supervisors with end-of-shift performance information and assist colleagues as needed. Optional duties may include moving trailers using a tractor.

Requirements

  • Knowledge of the warehouse
  • Forklift license (front, retractable, side loader)
  • Product knowledge
  • SAP transactions to track deliveries/shipments
  • Warehouse procedures
  • Working knowledge of Microsoft Office
  • Ability to calculate floor space in meters and weight distribution on the truck
  • Internal tractor license for moving trailers
  • Visitor and parking management software (Peripass) and communication tools with carriers
  • Downloading and recording picking photos

Responsibilities

  • Follows the delivery/loading schedule in the ERP (transaction indicating proper shipment numbers)
  • Follows supervisors’ instructions to improve work methods, prevent complaints or damages
  • Adapts to changes in work priorities
  • Gathers information to allow regular calculation of loading hours per day
  • Ensures repair packages are properly packed
  • Ensures additions to the schedule are properly prepared by order preparers
  • Prints labels to be affixed by loaders on stock packages leaving for customers
  • Records of trucks arriving at Stow, including start and end times of loading
  • Inform drivers when and where they will be loaded
  • Communicate safety rules to drivers along with the loading number
  • Fills in the trailer tracking file
  • Organizes transfer orders (TO) for deliveries (automatic basis + adding manual transfers)
  • Check the ZNKL list (list of items not ready for loading)
  • Maintains files with deliveries, number of packages, and tonnage per delivery
  • Maintains order and cleanliness
  • Respects the environment
  • Observes and enforces safety regulations
  • Provides supervisors with all performance-related information by completing the end-of-shift sheet (noting all tasks performed during the shift)
  • Assist colleagues when needed
  • Maintains regular contact with Transport Planning to manage any changes
  • Counts items during inventory and cycle counts
  • Performs 5S audits according to instructions
  • Moves trailers using the tractor (Optional)
