About The Position

Under general supervision, performs a variety of specialized and custom tasks to provide administrative support for a team of sales professionals. Maintain confidentiality of Sales, Marketing, Client, and proprietary information and data in all communications. Position requires in-depth knowledge of Sales and Marketing administrative and operational policy and procedure and general business practices and procedures.

Requirements

  • Bachelor’s Required (Marketing, Communications or Business Administration Preferred).
  • Minimum 5 years related work experience to include Real Estate Brokerage or Sales and Marketing.
  • Advanced Microsoft Office Suite, PowerPoint, Excel and Internet research skills.
  • Demonstrates administrative support skills including appointment scheduling, and ability to compose/proof and edit correspondence and reports.
  • Organizational, communication (written, oral, telephone), customer service and strong attention to detail are essential in this position.
  • Problem solving, decision-making, and analytical skills required.
  • Ability to prioritize, and manage multiple tasks, and meet stringent deadlines.

Nice To Haves

  • Real Estate License preferred.

Responsibilities

  • Oversee all aspects of team operations for a high-producing office and industrial capital markets team.
  • Act as point of contact and liaison with centralized marketing, financial analysis, Internal PR and Research to coordinate the completion of financial, marketing, and various client specific property data to incorporate into customized property information packages.
  • Assist Analysts/Brokers in creating content for OM’s and coordinate with third party graphics team in creating OM’s.
  • Collect, review and react to OM draft comments from analysts/brokers prior to sending to third party graphics team for implementation.
  • Create teasers and landing pages for active listings in Revere (or otherwise).
  • Track and implement teaser e-blast schedule.
  • Track and maintain team pipelines to monitor transaction progress and ensure critical dates are being met.
  • Submit monthly pipeline to management upon request.
  • Interact regularly with Newmark local market leadership on team and operational matters.
  • Attend strategic client meetings, events and pitches
  • Coordinate and assist analysts, brokers and graphic designers in creating content and producing Proposals and BOV’s in PowerPoint or InDesign
  • Review and ensure the accuracy and excellence of our proposal and offering materials
  • Lead the team’s evaluation and implementation of AI resources to improve productivity and quality
  • Coordinate complex on/offsite meetings, arranging reservations, hiring vendors, renting venues, as well as travel arrangements as needed.
  • Prepare expense reports as required.
  • May perform other duties as assigned.
