Job Summary Reporting to the VP of Real Estate and Workplace, the Director of Workplace Operations is responsible for all enterprise systems, tools, and operations to support the global workplace function. Working with COEs and regional leaders, this role will collaborate to optimize solutions at enterprise scale. This position requires a results-oriented leader with a high degree of self-sufficiency, independent judgment, and a focus on building scalable operational Frameworks. This is an in office role based in our HQ, Santa Clara CA 3 days/week

Requirements

  • At least 15 years of progressive experience in corporate real estate or workplace functions.
  • Proven track record in managing global real estate portfolios and lease administration operations.
  • Extensive experience managing Integrated Facilities Management (IFM) providers and large-scale vendor governance.
  • Strong financial acumen with experience in forecasting, budgeting, and OpEx management.
  • Demonstrated ability to lead, act, and provide direction in the face of ambiguity.
  • Excellent interpersonal skills, sound business judgment, and strategic thinking.
  • Strong collaboration skills to successfully work across business functions and geographies.

Nice To Haves

  • BA in Finance or an MBA is preferred.
  • Experience working in-house at a high-growth technology company.
  • Advanced knowledge of workplace technology stacks and integrated systems.

Responsibilities

  • Portfolio Strategy: Lead the portfolio strategy function including reporting and proactive data management of lease expirations, site consolidations, new sites, and operating expenses. Develop both site-level and portfolio-level strategies aligned with dynamic stakeholder requirements.
  • Lease Administration: Accountable for managing the lease administration function including third-party management of outsource providers. Ensure active and accurate payment of rent rolls and operating expenses for all sites. Coordination with FP&A for financial reporting and lease accounting.
  • Strategic Vendor Management: Accountable for interfacing with IFM providers to ensure timely and accurate reporting of KPIs, balanced scorecards, and QBRs.
  • Systems and Technology Enablement: Single point of contact for managing the integrated technology stack including both internal and external applications and workflows.
  • Global Programs and Processes: Accountable for managing milestones and reporting on outcomes for global programs. Maintain global playbooks for design, PMO, Facilities Management, and M&A integration.
  • Finance & Governance Interface: Single point of contact for Finance and Accounting. Accountable for active management of financial forecasts, budgeting, controls, compliance, and governance. Accountable for managing the business case process including standards for submissions and approvals.
  • Workflow Management: Act as the interface or "glue" between COEs and Regional Leads. Drive continuous improvement of workflows to drive efficiency.
