About The Position

Established in 1963, The Cardiovascular Care Group provides complete care for patients with vascular disease. With New Jersey offices in Essex, Passaic, Union, Morris, Monmouth, and Mercer counties, the Group is able to deliver care in both office-based and hospital settings. The Vein Institute provides comprehensive care to patients with venous disease.

Requirements

  • Bachelor's degree required
  • Minimum of 3-5 years of healthcare administration, ambulatory surgery center, outpatient procedure suite, or medical practice management experience.
  • Strong organizational and project management skills.
  • Excellent interpersonal and relationship-building abilities.
  • Experience working with physicians, clinical staff, and external healthcare partners.
  • Proficiency in Microsoft Office Suite, including Excel and PowerPoint.
  • Ability to analyze operational and financial data and prepare management reports.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities in a fast-paced healthcare environment.
  • Attention to detail and commitment to regulatory compliance.

Nice To Haves

  • Master’s degree in Healthcare Administration, Business Administration, or a related field preferred.
  • Experience with regulatory compliance, accreditation standards, and healthcare operations preferred.
  • Knowledge of medical billing, revenue cycle management, and healthcare financial reporting strongly preferred.

Responsibilities

  • Oversee the maintenance and operational readiness of facilities.
  • Coordinate and manage relationships with all service vendors (elevator, pest control, generator, fire safety, alarm, etc.)
  • Schedule routine and emergency maintenance visits.
  • Oversee compliance with all fire safety requirements and facility regulations.
  • Ensure ongoing compliance with Quad A and State of New Jersey accreditation regulations.
  • Manage annual renewal of state licenses and Quad A accreditation requirements.
  • Coordinate preparation and document management for Quad A surveys and on-site inspections (clinical and administrative compliance.)
  • Schedule and coordinate Med Safe and other regulatory visits.
  • Maintain required accreditation, compliance, and operational records
  • Monitor changes in regulatory requirements and implement updates as needed.
  • Provide oversight support to front desk and clinical personnel.
  • Arrange staffing coverage for front desk operations
  • Oversee nurse staffing and coverage to meet patient care needs.
  • Organize routine staff meetings and collaborate with clinical leadership to promote efficient workflows and communication.
  • Oversee the administrative liaison for dialysis center communications.
  • Manage designated communication channels, including secure messaging platforms, with dialysis center partners.
  • Organize and coordinate educational meetings and collaborative discussions with dialysis center representatives.
  • Prepare and maintain monthly Procedure Suite volume reports.
  • Develop and maintain reports related to operational, financial, and procedural performance metrics.
  • Review departmental profit and loss reports in collaboration with the Chief Financial Officer.
  • Analyze trends and provide insight to support operational and strategic decision-making.
  • Conduct audits to ensure accurate billing, claim submission, adjustments, write-offs, and collections related to Procedure Suite services.
  • Participate in managed care, revenue cycle, and billing strategy meetings.
  • Assist with billing projects, reporting initiatives, and revenue optimization efforts.
  • Oversee inventory and assist with contract negotiations.
  • Prepare agendas, PowerPoint presentations and reports regarding Procedure Suite quality measures, operational performance, and key metrics for physician leadership business and operational meetings.
  • Assist with physician-requested projects and special initiatives.
  • Assist with physician and community outreach initiatives as assigned.
  • Oversee ordering of office and operational supplies as needed.
  • Ensure adequate inventory levels to support uninterrupted clinical and administrative operations.
