Director of IT and Workplace

Hippocratic AI•Menlo Park, CA

About The Position

Hippocratic AI is hiring a Director of IT & Workplace to own the employee technology platform and the physical workplace environment. The company has roughly 265 onsite employees at its Menlo Park headquarters, a large network of remote U.S.-licensed clinicians, and plans for acquisitions. The role will inherit and develop a small team and own IT controls for HIPAA and SOC 2, the IT and workplace budget, and technology and workplace integration for acquired companies. The technology environment includes Okta for identity and access, Microsoft 365 and Google Workspace, a Mac-primary endpoint fleet with Windows devices and VDIs managed through MDM, internal systems including IRU, and other SaaS applications. The workplace includes a Palo Alto headquarters with conference room AV and access control, alongside distributed clinicians and staff. The Director will set strategy and service standards, lead the team, and manage technology, infrastructure, security, compliance, risk, workplace operations, and vendors. This is a hands-on leadership role that may require directly resolving important technology issues. The position requires 8+ years of IT experience and 3+ years managing IT or workplace teams. A bachelor's degree in IT, Computer Science, or a related field, or equivalent experience, is requested.

Requirements

  • 8+ years of IT experience, spanning hands-on administration or engineering and progressively senior ownership.
  • 3+ years managing IT or workplace teams, including hiring, performance management, and developing employees.
  • Proven ownership of an IT function through rapid growth, scaling systems and processes ahead of headcount.
  • Deep technical expertise across identity platforms such as Okta, Microsoft 365 and Google Workspace, fleet-scale MDM, and corporate networking.
  • Experience as a named control owner in a regulated environment such as HIPAA, SOC 2, or HITRUST, including working with auditors.
  • Budget ownership and vendor negotiation experience, with the financial fluency to frame risks and funding requests for a CFO.
  • Workplace or facilities exposure, such as buildouts, moves, physical security, or lease management, or a genuine appetite to take ownership and learn quickly.
  • Willingness to remain close to hands-on work when needed.
  • Bachelor's degree in Information Technology, Computer Science, or a related field, or equivalent experience.

Nice To Haves

  • Experience in healthcare, life sciences, or another environment handling sensitive personal data at scale.
  • Experience integrating IT for an acquisition or establishing an access governance or asset management program.

  • Certifications such as Okta Certified Administrator, Microsoft 365 Enterprise Administrator, Jamf, CISM, CISSP, or ITIL.

Responsibilities

  • Own a multi-year IT and workplace roadmap tied to the hiring plan, and present tradeoffs and funding needs to leadership.
  • Own and manage IT and workplace operating and capital budgets, including forecasting, defending budgets during planning, and rationalizing license, vendor, and facilities spending.
  • Lead, coach, and grow the team; set expectations, conduct performance conversations, hire as scope expands, and develop career paths.
  • Define service levels for ticket response, uptime, onboarding readiness, and workplace turnaround, and report results to the executive team.
  • Own identity and access, including Okta SSO, MFA, automated joiner-mover-leaver provisioning, and access governance across connected applications.
  • Own the endpoint fleet and SaaS portfolio, enforcing MDM baselines for encryption, patching, and configuration.
  • Own network and connectivity for headquarters and remote employees, with appropriate redundancy.
  • Replace manual provisioning, access reviews, and device setup with scripted, auditable workflows.
  • Lead platform migrations, upgrades, office buildouts, and IT and workplace integration of acquired companies.
  • Serve as accountable owner for IT controls in HIPAA, SOC 2, and customer security review programs, including evidence collection and audit response.
  • Enforce least privilege and conduct recurring access certifications with documented outcomes.
  • Partner with Security on incident response and vulnerability remediation, and with Legal on data handling, retention, and discovery requests.
  • Own business continuity and disaster recovery for corporate systems; write and test plans and address issues identified in testing.
  • Handle protected health information and confidential data with appropriate care.
  • Own headquarters day-to-day operations and lead space planning and buildouts based on the hiring plan.
  • Manage physical security, including access control and badging, visitor management, cameras, and emergency preparedness.
  • Own conference room and event AV for all-hands meetings and customer visits.
  • Support remote clinicians and staff with equipment logistics, home office standards, and consistent service.
  • Manage facilities, AV, security, and food vendors, as well as landlord and lease matters, in partnership with Finance and Legal.
