About The Position

The Director of Finance owns the accounting and financial reporting function for Menlo Inc. and carries responsibility for human resources administration. This is a working leadership role that combines the responsibilities of a Controller with oversight of payroll, benefits, and employment compliance. The position closes the books, produces financial statements, leads budgeting and forecasting, manages cash and working capital, and maintains internal controls. This is a broad, hands-on role within a lean, centralized administrative function. The Director of Finance reports to the CEO and supervises the Staff Accountant and the Recruiter.

Requirements

Working knowledge of GAAP and full-cycle close in a small to mid-sized company.
Working knowledge of payroll practice, benefits administration, and federal and state employment law.
Proficiency with accounting and payroll/HRIS platforms and advanced Excel skills, including pivot tables, lookups, and financial modeling.
Excellent verbal and written communication skills, with the ability to explain financial results to non-financial audiences.
Sound judgment and absolute discretion in handling confidential financial, compensation, and employee information.
Highly analytical and detail oriented, with the ability to translate data into business insight.
Experience operating in a lean finance function where the same person owns strategy, review, and execution.
Comfort working across accounting and HR without specialist support staff.
Ability to lead, coach, and develop a small team and to collaborate across departments.
Proven ability to meet deadlines and manage competing priorities.
Bachelor’s degree in Accounting, Finance, or a related field.
Seven or more years of progressive accounting experience, including at least three years in a Controller, Assistant Controller, or equivalent role.
Demonstrated experience with payroll oversight, benefits and 401(k) administration, and HR compliance; direct HR generalist experience preferred.
Prior supervisory experience required.

Experience in a professional services, managed services, or technology environment preferred.

Responsibilities

Own the monthly, quarterly, and annual close and produce accurate, timely financial statements in accordance with GAAP.
Maintain the general ledger, chart of accounts, and supporting schedules, including accruals, prepaids, deferred revenue, fixed assets, and depreciation.
Oversee accounts payable, accounts receivable, customer billing, collections, and employee expense reporting.
Perform and review balance sheet reconciliations, including bank, credit card, and clearing accounts.
Coordinate with outside accountants and auditors on year-end close, tax filings, and any audit or review engagement.
Ensure compliance with federal, state, and local tax and reporting requirements, including sales and use tax, franchise tax, business registrations, and 1099 filings.
Lead the annual budget process and maintain rolling forecasts, updating them for changes in volume, headcount, and operating earnings.
Deliver monthly variance analysis against budget and forecast, and translate results into plain-language business insight for the CEO.
Manage cash flow, working capital, and liquidity; maintain a cash forecast and keep operations focused on optimization of working capital.
Manage banking relationships, lines of credit, and any debt or covenant reporting.
Build and maintain the recurring financial reporting package and the key metrics used by the CEO.
Support pricing, margin, and profitability analysis by service line, contract, and customer.
Design, document, and enforce internal controls and accounting policies, and safeguard company assets.
Manage procurement and vendor contracts, including negotiation, renewal tracking, and payment terms.
Maintain the fixed asset register and manage asset acquisition, transfer, and disposal.
Administer business insurance renewals, including general liability, cyber, errors and omissions, and workers’ compensation, and support overall risk management.
Drive operational efficiency and process improvement across finance and HR, including use of technology to automate manual work.
Oversee payroll prepared by the Staff Accountant; review, verify, and approve each cycle for accuracy before submission.
Own payroll changes affecting compensation, deductions, garnishments, bonuses, commissions, and final pay.
Ensure accurate and timely payroll tax deposits, quarterly filings, and year-end W-2 and ACA reporting.
Manage employee benefit programs and serve as primary liaison to brokers and carriers, including annual renewal, open enrollment, plan changes, and invoice reconciliation.
Serve as plan sponsor contact for the 401(k) plan: manage the third-party administrator and recordkeeper relationships and review annual compliance testing and the Form 5500, act on testing results, and document periodic review of plan fees and providers.
Verify each payroll cycle that deferral, catch-up, and loan-repayment amounts are correct and remitted within required deposit timelines; reconcile payroll withholding to recordkeeper deposits and confirm payroll’s compensation coding matches the plan document definition of plan compensation.
Maintain the employee handbook and HR policies; communicate updates and track acknowledgment.
Ensure compliance with applicable federal and state employment law, including FLSA exemption classification, wage and hour rules, EEO, I-9 records, required postings and filings, and personnel record retention.
Administer leaves of absence and accommodation requests, including FMLA, ADA, state leave programs, and workers’ compensation claims.
Advise managers on performance management and corrective action, and handle employee relations matters as they arise, escalating to the CEO or outside counsel when warranted.
Manage the termination and offboarding process, including final pay, benefits termination and COBRA notification, exit interviews, unemployment claims, and coordination with IT on access and equipment recovery.
Support compensation review, performance review cycles, and headcount planning in partnership with the CEO.
Provide financial and HR guidance to overall company operations and work with management to identify problems and participate in providing solutions.
Partner with the Recruiter on hiring plans, headcount budget, offer terms, and compensation ranges.
Partner with the Staff Accountant on onboarding activities that touch payroll, benefits, and employee records.
Perform other duties as assigned.
