Requirements

  • Bachelor’s degree in healthcare related field
  • A minimum of ten (10) years of experience as a Physical Therapist, Occupational Therapist, or Speech Language Pathologist OR ten (10) years of experience as a Physical Therapy Assistant or Occupational Therapy Assistant, preferably in the senior living setting
  • Must possess strong knowledge of laws and restrictions regarding Physical, Occupational, and Speech Therapy practice, including applicable state practice acts
  • Strong knowledge of medical terminology, coding systems (ICD-10, CPT) and healthcare regulations.
  • Hands-on system administration experience with EMR/EHR platforms used in therapy or multi-specialty medical settings
  • Working knowledge of HL7, FHIR, and healthcare interoperability standards
  • Strong understanding of outpatient therapy and/or medical group workflows, documentation requirements, and reimbursement models
  • Proven project management skills with experience leading complex system implementations
  • Familiarity with HIPAA, CMS conditions of participation, and outpatient billing practices
  • Excellent analytical skills and attention to detail.
  • Effective communication skills, both written and verbal.
  • Ability to work independently and collaboratively in a team environment.
  • Proficiency in Internet browsers (e.g., Chrome, Edge, Firefox) and CRMs, as well as advanced knowledge of Microsoft Office programs, including Outlook, Excel, and Word. Experience in working with various electronic health records and auditing tools.

Responsibilities

  • Serve as the named system administrator for all clinical platforms, including the EMR/EHR, scheduling, documentation, outcomes tracking, patient engagement, and provider facing billing systems.
  • Own user provisioning, role-based access controls, security settings, and audit log oversight across all systems
  • Manage system configuration, build, and maintenance — including templates, forms, order sets, workflows, and integration settings — ensuring they reflect current clinical and regulatory requirements
  • Define and drive the long-term clinical systems roadmap in alignment with organizational growth, including new clinic openings, service line expansions, and acquisitions
  • Lead system evaluations and vendor selections, bringing a structured, evidence-based approach to assessing new solutions
  • Partner with IT to design, test, and maintain integrations between clinical systems, ensuring data flows accurately across platforms
  • Lead end-to-end system implementations and migrations, including scoping, workflow design, build, testing, go-live, and post-launch stabilization
  • Identify workflow inefficiencies and drive configuration or process changes that improve clinical productivity and documentation quality
  • Collaborate with therapy and medical leadership to ensure systems reflect discipline-specific requirements across PT, OT, Speech, and medical documentation
  • Ensure all systems maintain compliance with HIPAA, CMS regulations, state licensing requirements, and payer-specific mandates
  • Maintain audit trail integrity and conduct periodic access and configuration reviews
  • Serve as the escalation point for complex system issues and provide hands-on support during go-lives and outages
  • Develop and maintain dashboards and reports that give clinical leadership actionable insight into productivity, documentation compliance, outcomes, and payer performance
  • Support quality initiatives by surfacing data from clinical systems to inform improvement cycles and clinical program development
  • Manage and monitor clinical reimbursement processes to ensure that clinical services are accurately billed and compliant with payer requirements, optimizing revenue while maintaining high-quality care standards.
