About The Position

This client-facing administrative role supports the daily operations of a small, 3-person financial advisory firm, serving as the first point of contact for clients while managing scheduling, paperwork, compliance tracking, and office coordination. You’ll work closely with a tenured, experienced owner in a stable, fully in-office environment, helping ensure a seamless client experience and efficient operations. Ideal candidates have 2+ years of administrative experience, strong organization skills, and preferably has been in financial services or wealth management. The firm offers $60K–$70K (up to $75K DOE) plus 16 paid holidays, making this a great long-term opportunity in a tight-knit team. Efficiently manage the client experience and transactions, while ensuring compliance with licensing and regulatory requirements. Oversee general office activities to enhance the operational efficiency of the firm.

Requirements

  • 2+ years of experience in a client facing/servicing administrative role
  • Proficient in administrative support and calendar management.
  • Experience with Outlook and client relationship management.
  • Has worked in financial services, including check writing and managing payables.
  • Skilled in using Excel and other office software.

Responsibilities

  • Open the office each day and prepare for daily operations.
  • Greet and assist clients as they arrive, ensuring a welcoming atmosphere.
  • Check and manage daily mail and confirm appointments for the next day.
  • Maintain and update the client database regularly.
  • Schedule quarterly reviews with clients.
  • Manage office supplies, ensuring they are well-stocked and ordered as needed.
  • Prepare necessary paperwork for upcoming appointments and client requests, such as beneficiary changes.
  • Coordinate with the home office for compliance approval of new business.
  • Follow up and coordinate with clients regarding their transactions.
  • Organize files for the following week's appointments.
  • File and/or scan all documents to maintain organized records.
  • Maintain central compliance files and update the new business/check blotter.
  • Coordinate event details, including invitation lists.
  • Handle and appropriately route incoming calls.
  • Manage accounts payable by generating checks as needed.
  • Coordinate with an accounting firm regarding accounts payable.
  • Audit state and securities licensing to ensure compliance.
