About The Position

The Director of Business Administration is responsible for overseeing various administrative and financial functions within the company. This role involves managing payroll, maintaining accurate records, assisting with resident onboarding, handling resident payments and collections, processing invoices, and managing the new hire process. The Director also ensures compliance with state and federal laws regarding personnel and resident files, collaborates with the People Services team on HR initiatives, and promotes a safe working environment. Additionally, this position requires fostering teamwork, demonstrating initiative, and performing other assigned duties.

Requirements

  • Proficiency in processing payroll.
  • Ability to maintain accurate team member and personnel records.
  • Experience in generating labor reports from payroll systems.
  • Knowledge of month-end closing procedures.
  • Skills in orienting new residents and obtaining necessary signatures.
  • Understanding of company policies on late payments.
  • Ability to document received payments and deposit rent checks.
  • Experience in coding invoices and maintaining declining balances.
  • Knowledge of weekly submittals to management companies regarding payables.
  • Experience in overseeing the new hire process, including I-9s, screenings, and reference checks.
  • Ability to ensure all required forms are signed and filed.
  • Knowledge of State and Federal laws for maintaining resident and personnel files.
  • Experience working with People Services teams on HR, payroll, benefits, recruiting, and training.

Responsibilities

  • Processes all payroll associated with company business in a timely manner.
  • Keeps team member records up to date, including all associated personnel file information.
  • Provides daily labor reports to Executive Director on labor scheduled and worked from payroll system.
  • Follows and submits all tasks associated with month-end closing to the management company in a timely manner.
  • Assists in orienting new residents and making sure that all signatures are obtained on rental agreements prior to residency.
  • Keeps Executive Director abreast of any late resident payments in accordance with company Policies on late payments.
  • Works closely with Executive Director to provide the management company with proper documentation on late payments and issue proper correspondence to those who are late in paying for services rendered.
  • Responsible for proper documentation of received payments and depositing rent checks appropriately.
  • Works closely with Executive Director in proper coding of invoices and maintaining up-to-date declining balances.
  • Makes weekly submittals to the management company corresponding with company policies on payables.
  • Oversees new hire process, including proper documentation of I-9’s, pre-employment screenings, reference checks, and ensure all required forms are signed and properly filed.
  • Maintains resident and personnel files in compliance with State and Federal laws.
  • Works closely with People Services team to ensure HR, payroll, benefits, recruiting, and training initiatives are executed.
  • Works in a safe manner and ensures any team members reporting to them work in a safe manner and that unsafe actions are managed.
  • Compliance with Safety Committee Standards is required.
  • Assists the Executive Director with the investigation, return to work, and management of the injured worker communications with care provider and the management company when workplace injuries occur.
  • Fosters teamwork with co-workers, shows initiative in overcoming obstacles, takes actions which assist others beyond job responsibilities, and has a positive impact on co-workers, residents, and visitors.
