About The Position

VendorSmart is a comprehensive, web-based marketplace that connects community managers and vendors in one seamless platform. We simplify vendor compliance, sourcing, and project bidding for the HOA and Condo industry. By blending technology with decades of property management expertise, we help management companies minimize risk while helping vendors grow their businesses. We are seeking a strategic and process-driven Director of AP and Enablement Operations to lead our end-to-end accounts payable functions and vendor enablement strategy. In this high-impact role, you will oversee the financial bridge between our community management partners and their service providers. Your mission is to ensure that every vendor on our platform is "enabled"—meaning they are properly onboarded, compliant, and integrated into our automated payment and 1099 filing workflows.

Requirements

  • 3+ Years Project Management Experience
  • 3+ Years working and communicating with Executive Level Stake Holders
  • Technically Proficient in Office Suite and Task Management Systems Like ClickUp and Zendesk

Responsibilities

  • Manage the full AP lifecycle, including invoice processing, payment scheduling (ACH, Wire, Check), and reconciliation for our management company clients.
  • Oversee the filing and delivery of 1099s and ensure all financial activities comply with state and federal regulations.
  • Establish and enforce rigorous financial controls to mitigate risk and prevent fraud within the marketplace.
  • Design and optimize the "Supplier Enablement" journey, ensuring vendors move quickly from signup to "ready-to-bid" status.
  • Lead the implementation of AP automation tools to streamline how vendors submit invoices and receive payments through the VendorSmart platform.
  • Partner with the Support and Compliance teams to ensure vendor insurance (COI) and licensing documents are seamlessly linked to payment eligibility.
  • Identify bottlenecks in the RFP-to-Payment workflow and implement technology solutions to reduce manual touches.
  • Define and track metrics such as Time-to-Payment, Onboarding Cycle Time, and Vendor Satisfaction Scores.
  • Act as the primary liaison between Product, Sales, and Finance to ensure our software roadmap supports operational efficiency.
