Regency Oaks is recruiting for a hospitality focused Director of Administrative Services to join our team! The Director of Administrative Services/Executive Assistant provides administrative support to the Executive Director, as well as additional support to their respective departments as required.

Requirements

  • High School education, associate's degree preferred.
  • Strong written and verbal communication, critical thinking skills.
  • Must have 3-5 years' experience in administrative or executive support role.
  • Background screening through AHCA

Responsibilities

  • Assembles regular written, verbal, and virtual correspondence to residents and associates on behalf of administration and as directed by supervisors.
  • Performs administrative support tasks for key executives: drafts and types letters, memos, newsletters, and documents; transcribes dictated correspondence and meeting minutes.
  • Maintains calendars and schedules; schedules appointments and coordinates the scheduling of events or meetings; makes travel arrangements.
  • Administers multiple projects and provides project management as requested by supervisor. Directs and coordinates activities of internal and external personnel to ensure projects progress as scheduled and within prescribed budget.
  • Performs public relations duties: answers phones and delivers messages, has significant contact with internal and external professionals and other key contacts, writes and submits press releases.
  • Manages the creation and set-up of presentation materials for the executive group and other key contacts.
  • Develops and maintains organizational systems for records.
  • Greets residents, clients and visitors and informs necessary parties.
  • Applications and software support for Doormakaba, Sharepoint, Point Click Care, AP Express, Text em All and Appy pie.
  • Manages the front desk and security staff and ensures adequate coverage for all shifts.
  • Maintains consistent presence with residents, associates and guests entering and exiting Executive Offices.
  • Delegates tasks and initiatives to concierge, security and administrative support associates as needed.
  • Administrative and strategic support for sales and marketing department on behalf of administration as needed.
  • Performs specific work duties and responsibilities as assigned by supervisor.
