About The Position

The Administrative Assistant for the Director of Environmental Services will provide comprehensive administrative support to the Directors, ensuring smooth daily operations. This role involves managing schedules, preparing documents, serving as a communication liaison, coordinating projects, assisting with financial tasks, and maintaining compliance records. The position requires strong organizational and communication skills, proficiency in Microsoft Office, and the ability to handle confidential information.

Requirements

  • Proven experience as an administrative assistant or similar role, preferably in a healthcare or senior living environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Excellent organizational skills with the ability to prioritize tasks and manage time effectively.
  • Strong verbal and written communication skills.
  • Attention to detail and problem-solving abilities.
  • Ability to handle confidential information with discretion.

  • Familiarity with environmental services or facilities management operations.

Responsibilities

  • Manage calendars, schedule meetings, and coordinate appointments for the Directors.
  • Prepare and distribute correspondence, memos, reports, and presentations.
  • Maintain accurate records and documentation, including filing and data entry.
  • Serve as the primary point of contact for internal and external inquiries, redirecting them as appropriate.
  • Facilitate communication between departments and stakeholders within the CCRC.
  • Assist in planning and organizing special projects and events led by the Environmental Services department.
  • Monitor project timelines and deliverables, ensuring deadlines are met.
  • Assist with budget tracking, expense reports, and procurement processes.
  • Maintain inventory records for supplies and equipment used by the Environmental Services team.
  • Ensure compliance with regulatory requirements by maintaining accurate records and documentation.
  • Assist with preparing materials for audits and inspections.
  • Collaborate with other administrative staff and departments to support overall CCRC operations.
  • Provide backup support to other administrative roles within the CCRC when needed.
