About The Position

The Director of Administration will play a critical role in driving operational excellence and growth within Stella Maris Family Office “SMFO” operational division. This division will provide back-office services to SMFO and SMFO’s operating companies. With deep industry expertise, proven leadership, and business acumen, this role will be instrumental in assisting the transformation of SMFO’s operating companies to achieve their full potential. This person will also be responsible for identifying successful systems, working to integrate these systems into the companies' operations, and actively working to increase the overall value of the operating companies.

Requirements

  • Bachelor's degree in business or related field (Master's/MBA preferred).
  • Proven track record of successful executive leadership roles in relevant industries.
  • Extensive experience in operational improvement, business transformation, and strategy execution.
  • Strong analytical skills with the ability to translate data into actionable strategies.
  • Exceptional communication, negotiation, and interpersonal skills.
  • Strong proficiency in the use of Microsoft Word, Excel, and Outlook.
  • Demonstrated ability to mentor and lead cross-functional teams.
  • Willingness to travel as needed.

  • Familiarity with family office, private equity, venture capital, or investment management environments is a plus.

Responsibilities

  • Oversee and develop the HR, IT, Risk, Marketing, facility management and Admin divisions of the back-office services.
  • Collaborate with the CEO of SMFO and operating companies to define and refine the strategic vision, goals, and growth initiatives of the operating companies.
  • Provide tactical guidance to align business objectives with industry trends and best practices.
  • Contribute to the development and execution of business plans, operational strategies, and performance metrics.
  • In certain circumstances, may present to the SMFO Board and work directly with CEO of operating companies.
  • Participate in Leadership Team meetings and planning.
  • Work with CEO of SMFO and the Founder of SMFO on planning, budgeting, strategy, EOS, and operations.
  • Conduct comprehensive operational assessments of SMFO and the operating companies to identify strengths, weaknesses, and opportunities for improvement.
  • Implement best-in-class operational processes, systems, and procedures to enhance efficiency, productivity, and overall performance.
  • Work closely with cross-functional teams to optimize business services, sales, marketing, manufacturing, and other operational functions.
  • Assist the CEO of operating companies when needed to identify key performance indicators (KPIs) and develop actionable insights for improvement.
  • Assist with implementing corrective measures as needed to drive consistent growth and profitability.
  • Facilitate regular audits and reviews.
  • Manage and assess organizational back-office structures and identify talent gaps.
  • Advise on leadership development, talent acquisition, and succession planning strategies.
  • Mentor and coach management teams to foster a culture of continuous learning and professional growth.
  • Manage full life cycle recruitment process and onboarding of Senior level executives for operating companies.
  • Stay abreast of industry trends, competitive landscape, and emerging technologies that could impact SMFO and its operating companies.
  • Provide insights into market dynamics and competitive positioning to guide strategic decision-making.
  • Assist in evaluating potential investment opportunities and conducting due diligence.
  • Establish strong relationships within the back-office departments and SMFO leadership.
  • Lead communication between the operations division and CEO of operating companies, ensuring alignment and information flow.
  • Communicate effectively with all parties, presenting performance updates, strategic recommendations, and insights on a regular basis.
  • Identify successful operational systems, practices, and technologies within SMFO.
  • Collaborate with CEO of operating companies to integrate these systems effectively, ensuring optimal results and synergies.
  • Liaison with the operating companies to assist in the growth of SMFO and the operating companies through M&A.
  • Develop and execute strategies to actively increase the overall value of SMFO and operating companies.
  • Identify operational efficiencies and innovative initiatives that contribute to increased valuation.
  • Perform other duties and responsibilities as assigned by the CEO of SMFO or the Founder of SMFO.
