About The Position

The Director of Administration provides high-level operational and administrative support to the Provost and oversees the day-to-day functions of the Office of the Provost. This role coordinates key projects and initiatives that support the Provost’s engagement with internal and external stakeholders, both domestically and internationally. Working in a fast-paced environment, the Director manages complex administrative responsibilities, prioritizes issues directed to the Provost, and exercises sound judgment and discretion when handling sensitive information. The position works closely with the Provost’s leadership team to ensure the Provost’s schedule aligns with institutional priorities and oversees the preparation, tracking, and coordination of briefing materials for meetings, events, and public engagements. The Director also supervises the office’s administrative support team and manages operational activities, including scheduling, travel coordination, correspondence, and speaking engagements. Additionally, the role supports the Provost’s participation in major university events such as commencement, convocation, and other academic ceremonies. Other related duties may be assigned as needed.

Requirements

  • Bachelor’s degree and five years of job-related experience or an equivalent combination of education and experience.
  • Experience initiating and managing complex projects with multiple layers and challenges.
  • Advanced experience in MS Word, MS PowerPoint, and MS Excel.
  • Advanced MS Outlook experience in managing complex calendars and scheduling large-group meetings.
  • Demonstrated supervisory experience.
  • Event-planning experience, preferably in an academic environment.
  • Demonstrates an understanding and consideration of the differing needs and concerns of individuals with varying identities, cultures, and backgrounds.
  • Must be committed to fostering a workplace culture of belonging, where diversity is celebrated, and equity is a core value.
  • Strong organizational and time-management skills, with the ability to initiate and manage multiple complex projects and tasks simultaneously.
  • Strong writing and editing/proofreading skills and ability to compose effective communications for senior administrators.

  • Positive can-do attitude and demonstrated ability to be part of a high-performing, collaborative team.

  • Ability to ensure and maintain the utmost confidentiality and discretion.
  • Must be available nights and weekends when needed.
  • Requires a criminal history background check.
