About The Position

Our Lady of the Falls Catholic Community is seeking a Director of Administration and Communications. This full-time, hourly position is responsible for leading the parish office, managing administrative staff, and ensuring clear, welcoming, and timely communications. The role requires strong organizational, writing, people, and technology skills, with a commitment to the parish's mission of inviting all people to encounter Christ and inspire them to become saints. The Director will be the first point of contact for many, ensuring smooth operations and effective storytelling for the community.

Requirements

  • A practicing Catholic with a demonstrated understanding of and respect for Catholic teaching and parish life.
  • A high school diploma.
  • Successful diocesan criminal background and fingerprint checks.
  • Completion of mandatory Protect & Heal training.
  • Excellent written and verbal communication skills.
  • Strong organization and attention to detail.
  • Ability to manage multiple priorities and meet deadlines independently.
  • Ability to manage and support staff.
  • Proficiency with Microsoft Office or Google Workspace.
  • Proficiency with common social media platforms.
  • Willingness to learn parish databases, website content-management systems, and church-management software.
  • A professional, welcoming, service-oriented manner.
  • Ability to keep confidences.

Nice To Haves

  • An associate or bachelor's degree in communications, business administration, marketing, or a related field.
  • Two or more years of administrative, communications, parish, nonprofit, or related experience.

Responsibilities

  • Write and send the weekly bulletin and electronic communications.
  • Manage the parish website and social media accounts.
  • Prepare announcements, newsletters, flyers, posters, and promotional materials.
  • Coordinate communications for events, ministries, liturgies, and programs.
  • Manage the parish event calendar.
  • Ensure consistent branding, messaging, and tone.
  • Gather information from staff and ministry leaders for publication.
  • Take or coordinate photographs and other content.
  • Coordinate with diocesan offices and answer routine questions.
  • Serve as Administrative Team Director, leading and supporting reporting staff.
  • Act as the welcoming point of contact for parishioners, visitors, and callers.
  • Manage calendars, correspondence, mail, records, and office systems.
  • Coordinate room and facility reservations.
  • Keep parishioner records accurate in ParishSoft.
  • Support the pastor, associates, executive administrative assistant, and staff.
  • Coordinate with vendors and service providers.
  • Handle liquor licenses for parish events.
  • Handle confidential information with discretion.
  • Handle HR tasks including onboarding paperwork, system access, key fobs, job descriptions and postings, background checks, and scheduling interviews.
  • Lead Protect & Heal training and annual updates for employees and office volunteers.
  • Collect completed forms from ministry leads and maintain the parish spreadsheet for safe environment compliance.
  • Send completed safe environment forms to the La Crosse Diocese Safe Environment Office before the deadline.
