About The Position

Florida Atlantic University is seeking a Director, Board of Trustees Operations - Boca Raton, FL. Provides high-level administrative and operational leadership in support of the University's Board of Trustees and its committees. Reporting to the Vice President and Chief of Staff, the Director serves as a central liaison among the Board, University leadership, and external governance bodies, ensuring that Board activities are conducted efficiently, transparently, and in compliance with applicable bylaws, policies, and state regulations. The position is responsible for coordinating meetings, managing governance documentation, directing institutional studies and special projects, and advancing the goals and objectives of the institution.

Responsibilities

  • Direct all administrative and operational support for the University's Board of Trustees, including its committees.
  • Coordinate all logistical arrangements for Board and committee meetings, including meeting space, catering, audiovisual support, and parking.
  • Prepare and distribute agendas and supporting materials for Board and committee meetings in a timely manner, coordinating with Vice Presidents and their staff to collect required content.
  • Maintain all official records, minutes, and documentation from each Board and committee meeting, and post them in accordance with applicable policies and regulations.
  • Maintain the University's official Board of Trustees websites.
  • Respond promptly to requests from Board members.
  • Coordinate necessary travel arrangements for trustees, Vice Presidents, and the Board liaison.
  • Manage the onboarding and ongoing orientation of new trustees, including governance training and reference materials.
  • Provide comprehensive support to the Vice President and Chief of Staff (VP/COS) in all matters related to Board operations, communicating regularly on Board matters.
  • Communicate with the Board, at the direction of the VP/COS, regarding meetings, special events, and other applicable matters; copy the VP/COS on all communications to the Board or individual members.
  • Manage budget tracking and bill processing for Board operations in Workday.
  • Serve as a member of the Office of the President administrative support team, providing administrative support to the office as needed.
  • Assist with Commencement ceremonies in matters relating to the President's Office.
  • Respond to calls or messages during non-working hours.
  • Understand Roberts Rules of Order and the management and conduct of board meetings.
