About The Position

Lument Real Estate Capital provides comprehensive capital solutions for multifamily, affordable, seniors and health care real estate through its affiliated companies. Lument provides its clients, which include both tax-exempt and for-profit organizations, private equity backed firms, REITs, investors, and lenders, with a full suite of financing and strategic solutions. This includes mortgage banking, a variety of direct balance sheet lending options, private equity, investment banking and mergers and acquisitions. The Director of Administrative Services is responsible for overseeing all administrative, facilities, and office operations for Lument’s New York office. This role ensures a high-functioning, professional, and efficient workplace environment that supports producers, leadership, and staff. The Director will lead office administration, manage vendor relationships, oversee facilities planning, and drive operational excellence aligned with the firm’s strategic goals.

Requirements

  • Bachelor’s degree in Business Administration, Operations Management, or related field.
  • 10-15 years of experience in office management, facilities management, or administrative leadership, preferably within commercial real estate or professional services.
  • Strong knowledge of facilities operations, vendor management, and budgeting.
  • Proven leadership and team management skills.
  • Excellent organizational, communication, and problem-solving abilities.
  • Proficiency in Microsoft Office Suite and office management systems.

Responsibilities

  • Oversee day-to-day operations of the New York office, ensuring a well-maintained, safe, and professional environment.
  • Manage office space planning, including seating arrangements, expansions, and relocations.
  • Coordinate maintenance, repairs, and upgrades of office infrastructure and systems.
  • Ensure compliance with building regulations, safety standards, and company policies.
  • Act as primary liaison with building management and landlords.
  • Source, negotiate, and manage relationships with vendors (cleaning, security, office supplies, technology support, etc.).
  • Monitor vendor performance and ensure service level agreements are met.
  • Oversee contract administration and cost control initiatives.
  • Lead and mentor administrative staff, including office managers and support personnel.
  • Develop and implement administrative policies, procedures, and best practices.
  • Support recruiting, onboarding, and training of administrative team members.
  • Develop and manage the office operations budget, including facilities and administrative expenses.
  • Identify cost-saving opportunities while maintaining high service standards.
  • Approve invoices and track expenditures against budget.
  • Partner with brokerage teams and senior leadership to support business operations and client needs.
  • Work with Marketing team as needed on coordination of internal events, meetings, and conferences.
  • Assist office technology needs in coordination with IT teams.
  • Ensure workplace safety protocols are maintained and regularly updated.
  • Lead emergency preparedness planning and response efforts.
  • Maintain compliance with local, state, and federal regulations.
