About The Position

The Digital Imaging Specialist is a highly visible role within the department, interacting with outpatients, guests, inpatients, physicians, and other customers. This position requires exceptional interpersonal skills, judgment, dependability, conscientiousness, and empathy, with a strong focus on customer and patient needs and expectations. The specialist will cordially greet and professionally assist all individuals arriving in the department. A high level of organization and proficiency in using electronic records, digitizing technology, and various software systems is essential.

Responsibilities

  • Possess knowledge of Imaging Department workflow.
  • Coordinate patient care activities and dispatch clinical and transport staff.
  • Greet all individuals cordially and professionally.
  • Provide care and safety to patients undergoing treatment and exams.
  • Meticulously inspect orders and generate accurate paperwork to initiate the examination process.
  • Demonstrate thorough knowledge of policy and regulations regarding privacy rules and release of PHI information requirements.
  • Support physicians and staff in the use of digital imaging systems.
  • Use I Care principles for proper patient identification, correct exam selection, and to improve patient communication and engagement.
  • Maintain current electronic records and reports.
  • Scan and commit images to film or CD.
  • Utilize image exchange cloud system or import outside CDs or film for physician comparisons.
  • Meticulously and accurately assemble, sort, maintain, and disassemble patient imaging records, including printing and electronic scanning of film or reports.
  • Process requests for CDs or film by classifying accordingly (e.g., physicians, physician offices, OR, ED, or other healthcare organizations) via phone, mail, or direct request for Release of Information (ROI).
  • Assure authenticity of requestor or designee, guardian, or patient.
  • Maintain electronic records of exams released.
  • Utilize department-specific computer systems for dictated reports, prioritizing reports, printing reports, faxing reports to physician offices, mailing, or sending to healthcare organizations.
  • Utilize ChartMaxx system for obtaining operative exam reports for imaging exams performed in the OR to avoid delaying radiology reporting.
  • Assist transport staff with Teletracking transport system entries and usage.
  • Present appropriate outside mammography films on a viewer for radiologist comparisons, remove film from the viewer, and maintain film records.
  • Ensure outside films are returned to various facilities by mail or courier.
  • Ensure all imaging exams receive a completed report within 24 hours to meet reporting turnaround time (TAT) standards.
  • Assist daily in computer entries for patient supply and exam charges.
  • Follow billing practices and perform daily delinquent charge capture for all exams and reports.
  • Ensure the integrity of patient records and bills.
  • Serve as a liaison for imaging services with outside physicians and staff.
  • Take verbal reservations from physician offices and written orders for walk-ins.
  • Anticipate scheduling conflicts and use good judgment.
  • Schedule or reschedule patient appointments.
  • Coordinate walk-in outpatients into the workflow, streamline the process, and communicate with the modality.
  • Maintain performance, patient and employee satisfaction, and financial standards as outlined in the performance evaluation.
  • Perform compliance requirements as outlined in the Employee Handbook.
  • Adhere to DCH Behavioral Standards, including creating positive relationships with patients/families, coworkers, colleagues, and self.
  • Perform essential job functions in a manner that ensures the safety of patients, visitors, and employees.
  • Identify and reduce unsafe practices that may result in harm to patients, visitors, and employees.
  • Recognize and take appropriate action to reduce risks and hazards to promote safety for patients, visitors, and employees.
  • Utilize electronic mail, time and attendance software, learning management software, and intranet.
  • Adhere to all DCH Health System policies and procedures.
  • Perform other duties as assigned.
