About The Position

Serves as the lead accounting person in the Foundation office. Maintain files and conducts special projects as assigned. Also obtains all event permits and maintains Raiser’s Edge data base. Provides administrative duties for the Directors and VP of the Foundation.

Requirements

  • 3 years of Administrative Secretary experience

Responsibilities

  • Ensures all phases of Raiser’s Edge, computer fundraising program including data entry, producing mailing labels, financial reports and system backup are complete.
  • Processes donations and deposits through all recording and acknowledgement.
  • Obtains Licenses and Permits from City, county and State for all Foundation events.
  • Posts events, prepares all applicable result reports that are required within 60 days.
  • Prepares agenda and minutes for Las Amigas and Thelma McMillen meetings.
  • Originates and composes correspondence, reports and forms.
  • Establishes, maintains and revises record keeping and filing systems including Employee Ambassadors.
  • Accepts and screens telephone calls and routes calls appropriately.
  • Trains other personnel on the use of office equipment as listed above
  • Ensures departmental manuals are current.
  • Proofs and edits drafts for Health Care Foundation publications, programs, etc, in preparation for printing final copy.
  • Reviews daily admissions listing to identify persons associated with the Foundation whose hospitalization needs to be acknowledged.
  • Assists with all phases of special events, Golf Tournament, American Honda fundraiser, and Holiday Festival.
  • Coordinates direct mail projects working with Las Amigas volunteers.
