About The Position

PA Inclusive, a leader in inclusive disability services for individuals with intellectual and developmental disabilities and Autism across Eastern and Northeastern Pennsylvania, is seeking a Development Assistant to provide administrative and operational support for the organization's fundraising, grant development, marketing, and community engagement activities. The organization includes: PA Inclusive (provider agency serving ODP IDD Waiver and OVR programs). Coffee Inclusive (social enterprise café and bakery providing employment training opportunities for individuals with disabilities). Inclusive Grounds Coffee Roasting Company (emerging social enterprise). Headquartered in Pittston, Pennsylvania, with services across 14 counties and multiple regional offices, PA Inclusive continues to expand its impact through innovative services and community partnerships.

Requirements

  • High school diploma or equivalent required.
  • Experience in administrative support, fundraising, marketing, event planning, or customer service experience preferred.
  • Experience using Microsoft Office and database software preferred.
  • Ability to generate interest in the company or program and reach out to appropriate business partners.
  • Experience working with a diverse team and promoting a positive brand image.
  • Strong organizational and time-management skills.
  • Ability to manage multiple projects and deadlines.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and accuracy.
  • Ability to learn donor management and fundraising software.
  • Excellent organizational and time-management skills.
  • Ability to maintain confidentiality.
  • Valid Driver’s License and Clean Driving Record.
  • Must Pass Child Abuse History and Criminal Record Check Clearances and not be excluded from State of PA Exclusion Lists.

Nice To Haves

  • Associate's degree in Business, Marketing, Communications, Nonprofit Management, or a related field preferred.
  • Experience in marketing and/or communications preferred.
  • Experience working in a nonprofit organization is preferred.
  • Experience in planning large-scale events and fundraisers preferred.
  • Experience working with people with intellectual disabilities, autism, or mental health disabilities preferred.

Responsibilities

  • Assist with planning and coordinating fundraising campaigns and special events.
  • Prepare donor acknowledgment letters, receipts, and thank-you communications.
  • Process donations and maintain accurate donor records in the donor management database.
  • Assist with sponsorship requests and donor correspondence.
  • Prepare fundraising reports and tracking spreadsheets.
  • Assist with researching grant opportunities and grant development for submission.
  • Help gather supporting documentation for grant applications and reports.
  • Maintain grant files and submission calendars.
  • Track grant deadlines and reporting requirements.
  • Assist with grant compliance documentation.
  • Assist in maintaining the organization's website and social media platforms.
  • Prepare newsletters, email campaigns, brochures, flyers, and other marketing materials.
  • Help promote fundraising events and organizational programs through digital and print communications.
  • Coordinate distribution of marketing materials.
  • Assist with planning fundraising events, community outreach activities, provider fairs, employment fairs, and other special events.
  • Assist in development and tracking of the volunteer program.
  • Coordinate registrations, guest lists, volunteers, vendors, and event logistics.
  • Order supplies and assist with event setup and breakdown.
  • Maintain event records and evaluations.
  • Answer inquiries related to fundraising and community events.
  • Schedule meetings and maintain development calendars.
  • Prepare presentations, meeting materials, and reports.
  • Maintain organized electronic and paper filing systems.
  • Order office and event supplies as needed.
  • Perform general administrative support for development activities.
  • Represent PA Inclusive at community events as assigned.
  • Assist in building relationships with businesses, community organizations, schools, and donors.
  • Support volunteer recruitment and coordination efforts.
  • Maintain confidentiality of donor and organizational information.
  • Participate in staff meetings and organizational events.
  • Ability to work flexible hours, including occasional weekends or nights depending on fundraising needs.
  • Ability to cross-train with other administrative staff and take on different duties when required.
  • Perform other related duties as assigned.
