This position provides high-level administrative support to the Warden’s Office of the Eddy County Detention Center’s Divisions. This employee will be the initial point of contact for the Warden and must maintain a positive and professional attitude under all circumstances. This employee will also be responsible for answering phones, assisting the public with directions and questions. The Administrative Assistant is responsible for the comprehensive administration and management of the Inmate Fund Account system. This position will also serve as the primary point of contact for all inmate table and phone-related issues, providing technical support services to both staff and inmates and responsible for elevating and placing the tickets for any issues to the Detention’s Inmate Phone/Tablet Provider. Will be responsible for maintaining records to include tracking of tablet issuance and restrictions. Employee will be responsible for the distribution of daily interoffice and mail needing processed. This employee is responsible for most office supplies for the Detention center including ordering and distribution. Successful applicant will be required to create and prepare correspondence, arrange appointments, and oversee various money accounts. Key duties also include handling inmate billing, processes, ensuring accurate and timely financial transactions, and maintaining detailed records in accordance with departmental and County policies. Assist the Warden to develop and maintain operations manuals. This employee is also responsible for assisting in the handling of public records requests using the Next Request Portal software platform, and for obtaining a working knowledge of the Inspection of Public Records Act in order to be able to competently process public records requests. This employee will assist the Chief Deputy Administrator (CDA) with Agenda preparation for the Warden and will receive training to be able to perform the basic duties in the absence of CDA. This employee will need a basic understanding of ordinances, resolutions and agreements, as well as invoices and budgeting. This employee will obtain certification as a Notary Public and will serve as a Notary for County employees and Detainee’s and the general public. Must be experienced in basic and intermediate office procedures, must possess intermediate to advance computer experience, must be able to work on a variety of assignments in an office environment with multiple interruptions, and must be able to successfully meet regular deadlines. Employee may be required to work irregular hours, attend other job-related meetings and training in and out of the County, run errands as needed and perform all other duties as assigned. Work schedule Monday through Friday (subject to review or adjustment at the discretion of the Warden).
