About The Position

Tarkett Sports, a world leader in sports construction and surfacing, is seeking a Design Project Administrator to support its team at Ampere. Ampere specializes in architectural design services, master planning, renovations, and conceptual visualizations of sports facilities. This role provides essential administrative and coordination support to the architecture and engineering teams, ensuring effective project execution from contracting through design and construction. The position supports project managers, architects, engineers, and field leadership by managing documentation, including contracts, reports, project permitting, tracking project data, finances, and communication. Requirements

  • High school diploma or equivalent required
  • 2–5 years of administrative experience in construction, engineering, or a related project-based environment
  • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint
  • Strong organizational and multitasking skills with the ability to manage competing priorities and meet deadlines without missing a beat
  • Clear and professional written and verbal communication skills, with the ability to coordinate effectively across teams, clients, and vendors

Nice To Haves

  • Associate's or Bachelor's degree preferred
  • Experience supporting architecture, engineering, or construction projects is a plus
  • Familiarity with project management or document control platforms such as Procore, Primavera, Bluebeam, or SharePoint
  • Experience with Foundation and Syspro is a plus
  • Basic understanding of construction terminology, contracts, and project workflows

Responsibilities

  • Provide day-to-day administrative support to Project Managers, Engineers, and Construction Managers, including project setup, schedule tracking, and data entry in Salesforce and Procore.
  • Prepare, review, and distribute critical project documentation including contracts, subcontracts, change orders, meeting agendas and minutes, transmittals, and correspondence.
  • Track key project milestones, deliverables, and deadlines, proactively communicating updates to project teams, customers, and sales.
  • Maintain accurate and organized project records (electronic and hard copy) in compliance with company and client requirements, ensuring proper version control and stakeholder distribution via Procore.
  • Manage document control processes including submittals, RFIs, drawings, revisions, and approvals.
  • Assist with the preparation of project status reports, logs, and dashboards for internal and external stakeholders.
  • Support project cost tracking, including purchase orders, sales orders, invoices, and change order documentation, coordinating with accounting to ensure timely processing.
  • Assist with monthly cost reporting, billing support, and lien waiver collection, and track subcontractor and vendor compliance documentation including insurance, safety certifications, and contracts.
  • Coordinate communications between project teams, clients, subcontractors, and vendors; schedule meetings and site visits; prepare agendas; capture minutes; and follow up on action items.
  • Assist in the preparation of RFP and SOQ responses, supporting the creation of proposals and statements of qualifications.
