About The Position

The Design Coordinator is responsible for supporting Design Studio operations and overseeing the physical showroom, including maintenance, samples, and displays. This role involves supporting design studio processes, managing project tracking, overseeing showroom upkeep, and collaborating with vendors for sample programs. Additionally, the Design Coordinator handles administrative tasks such as ordering supplies, setting up new accounts, answering phones, scheduling appointments, preparing designer files, and assisting with data entry and document management. Effective communication with various stakeholders, including builder personnel, designers, and the sales team, is crucial. The role also involves identifying process improvements and supporting the Design Studio Manager. Work is performed under general supervision with regular performance reviews.

Requirements

  • High school diploma or equivalent
  • Thorough knowledge of all available products used by the Company as it relates to product installation
  • Strong written and verbal communication skills
  • Interpersonal skills to develop and maintain professional working relationships with builders, vendors, subordinates, and co-workers
  • Ability to communicate effectively with customers, co-workers, and supervisors in a professional and courteous manner
  • Proactively identify, analyze, address, and resolve problem areas, conflicts, and issues
  • Displays willingness to make decisions
  • Exhibits sound and accurate judgment, supports and explains reasoning for decisions, includes appropriate people in the decision-making process, and makes timely decisions
  • Strong organizational skills to ensure adequate tracking systems are utilized to maintain and track all required information associated with the ordering and production process
  • Working knowledge of internet, inventory, project management, spreadsheet and word processing software, and order processing systems

Nice To Haves

  • Bilingual experience preferred but not required (English/Spanish)
  • 3–5 years of administrative or clerical experience
  • Builder experience a plus
  • Specialized skills training or certification may be required

Responsibilities

  • Supports design studio processes and manages reports and tracking information for assigned projects
  • Oversees the physical showroom, including maintenance, samples, and displays
  • Works with the Design Studio Manager and vendors to correctly sample and display programs in showrooms
  • Orders office and design studio supplies and maintains office equipment
  • Assists in setting up new accounts and new design studios
  • Answers phones, greets customers, schedules, and coordinates Design Center appointments
  • Prepares designer files for appointments
  • Provides project administrative support
  • Assists with data entry and document management
  • Communicates regularly with builder personnel, designers, sales team, and manager
  • Partners with designers and account executives to strategically manage builder accounts
  • Refers complex or unusual problems to supervisor
  • Identifies opportunities for process improvement
  • Assists the Design Studio Manager as needed
  • Performs other duties as assigned
