About The Position

This classification is responsible for providing administrative and clerical support to an assigned Court. This role is distinguished from Deputy Clerk II by working more independently, potentially providing lead guidance to other Deputy Clerks, having experience across multiple units, and requiring three years of experience within the department.

Requirements

  • High School Diploma or GED required.
  • Three years of experience providing administrative or clerical support.
  • Ability to exert light physical effort in sedentary to light work, which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10 pounds).
  • Ability to perform tasks that may involve extended periods of time at a keyboard or work station.
  • Ability to perceive and discriminate colors or shades of colors, sounds, taste, odor, depth, texture, and visual cues or signals.
  • Ability to communicate orally.
  • May require exposure to adverse environmental conditions, such as dirt, dust, pollen, odors, wetness, humidity, hazardous materials, traffic hazards, bright/dim lights, toxic agents, or disease.

Responsibilities

  • May assist in leading work activities of co-workers, conferring with them, assisting with complex situations, providing technical expertise, and aiding in training.
  • Performs customer service functions via telephone, mail, and in person, providing information on court activities, services, procedures, documentation, fees, and case status. Reviews and accepts legal documents, distributes forms, answers questions, researches problems, and initiates resolutions.
  • Processes various court-related documentation, including subpoenas, court orders, hearings, continuances, warrants, case initiation documents, case dispositions, citations, deeds, and other legal documents. Receives, date stamps, distributes, submits, reviews, verifies, records, and files documentation. Creates spreadsheets and reports of activities.
  • Enters data from court and legal documents into computer systems, databases, and applications. Scans, indexes, and records court case information. Audits and reviews data for accuracy, updates case disposition information, and maintains accurate records and filing systems.
  • Collects, records, and processes fees, including court payments, taxes, and recording fees. Enters payments, posts checks, assigns fees to proper cases or properties, balances monies received, and processes fees as required.
  • Performs related duties such as participating in special projects, coordinating staff activities, attending court for arraignments, motions, pretrial and trial calendars, and testifying during court hearings as required. Performs other related duties as assigned.
