About The Position

The Department Support Coordinator, SGPA Neurosurgery, is a full-time role responsible for effectively communicating and exhibiting positive interpersonal skills with a variety of people, including physicians, team members, and patients. This role performs duties expected of a Medical Office Assistant, handles Revenue Cycle tasks to ensure timely billing, verifies charges and coding, and works with the Business Office as needed. The coordinator monitors time and attendance, approves time off, manages unscheduled leaves, and arranges coverage. They also handle customer service, including patient complaints and concerns, and demonstrate leadership by supervising team members, assigning tasks, and conducting department meetings. This position is responsible for detecting and reporting compliance variances, collaborating with the Manager, Physician Practices on performance evaluations, and coaching staff on performance issues. They ensure timely and accurate communication of changes to staff, maintain practice efficiency, and alert management of concerns. Confidentiality of patient and practice information is paramount, and the coordinator collaborates with other Health System departments and SGPA locations as needed, promoting teamwork.

Requirements

  • Capable of performing all duties expected of the Medical Office Assistant.
  • Good knowledge of office processes and Health System policies.
  • Ability to constructively coach staff and address performance issues when needed.
  • Ability to maintain confidentiality of all patient and practice related information.

Responsibilities

  • Effectively communicates and exhibits positive interpersonal skills with a variety of people of different skill sets not limited to current department, and including physicians, team members, and patients.
  • Performs the necessary duties of Revenue Cycle to ensure billing is sent timely, including verification of charges and coding working with the Business Office as needed.
  • Monitors Time and Attendance, approves planned time off, and manages unscheduled leaves including arranging coverage.
  • Handles customer service opportunities including patient complaints/concerns and service recovery.
  • Demonstrates leadership skills to provide direct supervision to the team members in the practice.
  • Assigns tasks appropriately.
  • Communicates information to team members including conducting regularly scheduled department meetings.
  • Is responsible for detecting, observing and reporting compliance variances to Manager, Physician Practices or upward through the chain of command, the Compliance Office, or Hospital Hotline.
  • Work in conjunction with the Manager, Physician Practices to complete annual performance evaluations including review with team member.
  • Ensures changes (insurances, processes, policies, etc.) are communicated timely and accurately to staff and aids in ensuring optimal efficiency is maintained throughout the practice, alerting Manager of concerns.
  • Follows established procedures to maintain confidentiality of all patient and practice related information.
  • Collaborates with other Health System departments when necessary (e.g. Information Systems, Facilities, Safety and Security, Medical Records.) and other SGPA locations, assisting in requests when needed.
