The Department Secretary in the Med-Surg Cardio Thoracic Unit performs a variety of direct service activities to ensure patients and their families/visitors receive timely information and appropriate responses to their needs. This role involves greeting and directing individuals, providing non-clinical information, coordinating front desk operations, and performing clerical duties. Responsibilities include managing telephone calls, entering and verifying patient information in computer systems, responding to patient call lights, maintaining communication logs, and assisting with patient orientation. The secretary also monitors healthcare computer software for discharge orders, handles mail and deliveries, facilitates access to hospital services, and identifies emergency situations. They coordinate patient transportation, interface with various departments, and perform office functions like photocopying and faxing. Additionally, this role may assist with patient admissions, discharges, and transfers by managing insurance pre-approvals, verifying demographic information, and completing applications. The Department Secretary is responsible for maintaining accurate patient care records, preparing charts, transcribing orders, and collaborating with the healthcare team for test and procedure scheduling. They maintain various logs and databases, ensure the unit has a stocked Downtime Materials Box, and are proficient in downtime procedures. The role also involves ensuring a clean, safe, and stocked unit environment, initiating work/repair orders, tracking and returning borrowed equipment, managing office supplies, and troubleshooting basic office equipment. Compliance with work rules, standards, policies, and procedures is essential, including universal standards of performance, conduct, patient rights, and BMC Standards of Behavior. The secretary works cooperatively with staff, seeks feedback, participates in meetings and initiatives, and complies with established practice standards and regulations. They maintain educational records, complete mandatory training, adhere to dress code, wear identification, and assist in orienting new staff and float staff. Adaptability to changing patient and unit needs, collaboration with the charge nurse, and reliability in work rules are expected. The role utilizes the hospital’s cultural beliefs for decision-making and supports the hospital’s mission and goals, following infection control and safety procedures.
