The Department Secretary provides direct service activities to ensure patients and their families/visitors receive timely information and appropriate responses to their needs. This role involves greeting and directing individuals, providing non-clinical information, coordinating front desk/office support, and performing various clerical duties. The secretary manages telephone calls, enters and verifies patient information in computer systems, responds to patient call lights, and maintains communication data. They also assist with patient orientation, monitor healthcare computer software, handle mail and deliveries, and facilitate access to hospital services. The role requires identifying emergency situations, coordinating transportation, and interfacing with various departments to ensure smooth operations. Additionally, the secretary performs office functions like photocopying and faxing, manages unit communications, and may assist with patient admissions, discharges, and transfers. A key aspect of the role is maintaining accurate and up-to-date patient care records, preparing charts, filing results, and transcribing patient care orders. They collaborate with the healthcare team for test/procedure scheduling and communicate schedules to relevant parties. The secretary also maintains various logs and databases, ensures the availability of downtime materials, and is proficient in downtime procedures. In terms of environmental care, the secretary ensures a clean, safe, and stocked unit, initiates work/repair orders, and manages inventory and ordering of supplies. They are responsible for basic troubleshooting of office equipment and must comply with work rules, standards, and competency requirements, including hospital policies, safety procedures, and infection control standards. The role involves participating in staff meetings, quality improvement projects, and maintaining annual educational requirements. The secretary is expected to maintain a presentable appearance, wear the assigned uniform and ID badge, and assist in orienting new staff and floating staff. They must adapt to changing patient and unit needs, collaborate with the charge nurse for breaks, and demonstrate reliability in work rules and policies. The position utilizes the hospital’s cultural beliefs for decision-making and supports the hospital’s mission and goals.
