About The Position

Provide administrative/secretarial support to the department and perform diversified administrative and secretarial functions. This role involves maintaining files, coordinating projects, arranging meetings, providing research and administrative support, composing correspondence, responding to calls and visits, performing executive functions, maintaining policies and procedures, keeping records, managing supplies, attending meetings, and pursuing professional growth.

Requirements

  • High school diploma or equivalent.
  • One (1) year of secretarial experience and/or clinical experience.
  • Excellent communication skills: written and verbal.
  • Must be detail oriented and organized.
  • Basic computer knowledge and prior experience with all of the Microsoft Office Suite.
  • Internet proficiency and ability to gather data and prepare reports.
  • Ability to prioritize is a must.
  • Ability to follow oral and written instructions.
  • Be present in a professional and positive manner.
  • Microsoft Office Suite (including Excel, Outlook, PowerPoint, Word)

Nice To Haves

  • Associate degree in secretarial science.

Responsibilities

  • Maintain files and security of confidential information: e.g. patient medical records, hospital financial information, salary, staff and legal information of a confidential nature.
  • Coordinate and track projects and committee decisions through the department or hospital to ensure paperwork is complete/appropriate, and follow-up services are provided in a timely fashion.
  • Arrange meetings and appointments.
  • Provide research and administrative support to special projects, preparing data and follow-up projects.
  • Compose correspondence, memos, and reports as instructed. Take dictation and/or transcribe from handwritten material or Dictaphone. Type, format and proofread a variety of materials including correspondence, memos, reports, charts, statistics, minutes of meetings, etc.
  • Respond to calls and visits from physicians, physician offices, and patients; determine the urgency of the situation. Suggest appropriate referrals or inform supervisor when situation warrants attention.
  • Perform certain executive functions to assist the supervisor including making decisions within authorized scope or directing the decision making to the proper authority.
  • Maintain established department/hospital policies, procedures, objectives, performance improvement, safety, environmental and infection control.
  • Maintain required records, files, and compile required statistics.
  • Maintain department equipment and supplies.
  • Attend meetings as required and participate on committees as directed.
  • Maintains professional growth and development through educational programs and inservice meetings.
