About The Position

Washington State University's Department of Sociology in the College of Arts and Sciences is now accepting applications for a Department Operations & Program Coordinator to support the department's graduate academic program and administrative operations. The successful candidate will begin as either a Program Assistant or Program Coordinator, depending on finalist level of experience and duties formally assigned. In this position you will play a key role in coordinating graduate academic processes and ensuring the efficient operation of the Sociology Department, which includes coordinating the department's graduate program. In support of the academic program, your responsibilities include coordinating admissions and onboarding activities; scheduling master's examinations and doctoral defenses; maintaining student records; and collecting and compiling data for annual reviews, reports, and assessments. You will also oversee scholarship and award application processes, manage program-related scheduling and enrollment transactions, and serve as the primary liaison between the Sociology department, the Graduate School, and other stakeholders to ensure compliance with university policies and procedures. Additionally, you will provide information regarding program requirements, deadlines, and processes, without serving in an academic advising capacity. Also integral to the Department Operations & Program Coordinator role, you will provide support for the Department Chair and department operations including supporting day-to-day operations; scheduling meetings and activities; maintaining database information, files, and confidential records; and serving as the primary point of contact for students, staff and visitors via phone, email, and in-person.

Requirements

  • High school graduation or equivalent AND two years of full time clerical experience OR equivalent education/experience (for Program Assistant)
  • High school graduation or equivalent AND two years of experience in the program specialty OR equivalent education/experience (for Program Coordinator)
  • Two or more years of full-time experience working with student programs, student records, creating and maintaining confidential records; or equivalent experience
  • Experience using Microsoft Office Suite applications
  • Excellent communication skills, oral and written
  • The ability to perform work with high level of accuracy and efficiency
