Requirements

  • Equivalent to five (5) years of full-time, progressively responsible administrative or technical office management experience in an administrative capacity exercising independent judgment and leading the work of others.
  • Equivalent to full-time college or university education/vocational school training in a business or job-related field may be substituted for up to two (2) years of the required experience.
  • Knowledge of university policies, academic procedures, student services, faculty affairs, payroll, admissions, financial aid, and campus resources; ability to interpret requirements, triage inquiries, resolve or appropriately refer concerns, and provide accurate guidance regarding programs, registrations, and departmental procedures.
  • Skill in maintaining confidential faculty records, APDB workload data, part-time faculty documentation, reassigned-time records, applicant pool materials, and entitlement reports; ability to coordinate across campus offices, communicate effectively with diverse stakeholders, provide training, and maintain accurate, compliant documentation.
  • Knowledge of payroll certification, Time & Labor processes, Federal Work Study requirements, student employment procedures, pay period adjustments, funding combinations, position numbers, and pay warrant distribution; ability to review records, identify discrepancies, process corrections, and maintain accurate, timely documentation.
  • Skill in coordinating recruitment, onboarding, appointments, contracts, separations, promotions, leaves, and retirement actions; ability to prepare PARs, enter and update personnel data, generate appointment letters, follow CSUN policies, and communicate effectively with applicants, employees, supervisors, and campus offices.

Responsibilities

  • Under the general supervision of the Department Chair, the Department Coordinator performs a variety of administrative, technical, and analytical duties for the Department of Psychology.
  • Provides operational support to the department Chair.
  • Reviews, verifies, and prepares the monthly Master Payroll Certification (MPC) and Time & Labor for Department Chair approval.
  • Prepares time and labor entries, notifies the Department Chair for final review and approval.
  • Assists with faculty recruitment efforts including coordination of Part-Time Faculty (PTF) applications and records.
  • Responds to general faculty and student inquiries and provides day-to-day administrative support for the Department and refers students to the Chair or other appropriate administrative offices when necessary.
  • Serves as the department liaison with various campus contacts.
  • Reviews monthly student time entry, provides students' hours reported to the financial analyst to update funding combinations and submit journal entries as needed to correct discrepancies.
  • Completes and routes Applicant Pool Log and Disposition forms to Faculty Affairs for approval.
  • Prepares and submits hiring documents that may include various forms such as Personnel Action Requests (PARs) to update faculty records, including salary or time base changes.
  • Assists with planning logistics for departmental events, faculty recruitment meetings, and special events such as the annual Undergraduate and Graduate Awards Ceremony, faculty retirement recognition ceremonies, monthly department meetings, and student-centered events.
