About The Position

The Department Coordinator provides administrative and operational support to the Public Engagement, Learning and Impact (PELI) team. This temporary, part-time role is responsible for coordinating departmental processes, supporting programs, managing contracts and invoices, tracking budgets, and helping maintain efficient systems and workflows across the department. The ideal candidate is highly organized, detail-oriented, systems-minded, and comfortable managing multiple priorities in a collaborative environment. This role requires someone who can anticipate needs, communicate effectively, and create structure that supports both day-to-day operations and larger departmental initiatives.

Requirements

  • 2+ years of administrative, coordination, or operations experience preferred.
  • Strong organizational and project coordination skills with exceptional attention to detail.
  • Demonstrated experience supporting budgets, contracts, invoicing, or financial tracking.
  • Systems-minded approach with the ability to create and maintain efficient workflows and processes.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities independently and follow through on deadlines.
  • Proficiency with Microsoft Office and standard workplace technology platforms.
  • All applicants must be eligible to work in the United States without the need for employer sponsorship.

Nice To Haves

  • Experience with databases, project management systems, or CRM platforms is a plus.
  • Interest in arts, education, community engagement, or nonprofit work preferred.

Responsibilities

  • Coordinate logistics and administrative support for departmental programs, meetings, and initiatives.
  • Assist with planning and execution of workshops, convenings, and community engagement activities.
  • Schedule meetings, prepare materials, track action items, and support follow-up communication.
  • Maintain department travel and calendars, and coordinate shared timelines and deliverables.
  • Support cross-functional collaboration with internal departments and external partners.
  • Prepare, process, and track contracts, invoices, and related documentation for artists, consultants, vendors, and program partners.
  • Coordinate onboarding and logistical support for visiting guests, speakers, and contractors as needed.
  • Maintain organized digital records, shared files, and departmental documentation systems.
  • Support purchasing, supply coordination, and general departmental operations.
  • Develop, format, and maintain presentation decks and other supporting materials for meetings, programs, reports, and stakeholder communications.
  • Track departmental expenses, invoices, and program-related budgets.
  • Assist with reconciliation and financial reporting processes.
  • Maintain accurate records and support adherence to budgetary procedures and timelines.
  • Help monitor spending across multiple projects and initiatives.
  • Develop and maintain organized workflows, tracking systems, and administrative processes.
  • Support data entry, reporting, and information management across departmental systems.
  • Identify opportunities to improve efficiency, communication, and coordination within the department.
  • Serve as a reliable operational resource for the team by creating structure and consistency in administrative practices.
