About The Position

Shriners Children’s New England has an opportunity for a full time Department Assistant to join our team! The Department Assistant will serve as a liaison between medical staff, the Chief of Staff, clinic administration, credentialing, and payer enrollment. The position provides administrative support to the Chief of Staff, promotes compliance with corporate and local policies, accreditation/regulatory requirements, and ensures efficient practitioner onboarding, credentialing, and medical staff operations. The pay range for this position is $22.96 hourly to $34.45/hourly. Compensation is determined based on years of experience and department equity.

Requirements

  • 3 years of experience in a medical staff services role
  • Strong knowledge of credentialing, licensure, and regulatory requirements
  • Excellent organizational, communication, and time‑management skills
  • Proficiency with office productivity tools and credentialing systems (e.g. Microsoft Office Suite, MD-Staff)

Nice To Haves

  • Experience supporting multiple clinical sites
  • Familiarity with accreditation standards (e.g., NCQA, state regulatory bodies)
  • Experience working with residency or academic medical programs

Responsibilities

  • Coordinate medical staff and Advanced Practice Professional (APP) staff credentialing requests
  • Evaluate the need for recredentialing with the Chief of Staff the need to maintain and recredential medical staff and APP staff who are low/no volume
  • Facilitate review of completed applications by the Chief of Staff
  • Track credentialing status and follow up with practitioners and external entities as needed
  • Assist practitioners with licensure, certifications, continuing education, and affiliate credentialing requirements, as needed
  • Monitor expiration dates and maintain accurate tracking logs for any expirable not maintained as part of a credentialing requirement
  • Provide guidance and reminders to ensure ongoing compliance
  • Coordinate onboarding for new medical and APP staff
  • Assist in planning and executing resident and trainee orientations, as needed
  • Serve as liaison between residency/trainee programs and the organization
  • Ensure adherence to Hospital Regulations and Procedural Rules, and policies, accreditation standards, and regulatory requirements
  • Maintain documentation to support audits, surveys, and inspections
  • Assist with corrective actions related to compliance findings
  • Serve as primary administrative support to the Chief of Staff
  • Manage calendars, meetings, correspondence, travel arrangements, and expense reports
  • Prepare meeting agendas, minute taking and distribution, and maintain official records
  • Manage incoming calls to the medical staff office and route appropriately
  • Coordinates communication between medical staff and other departments
  • Under the direction of the Chief of Staff, assist with annual departmental budget preparation
  • Support monthly budget monitoring and variance review
  • Maintain organized files and documentation for medical staff and clinic operations
