About The Position

This role is responsible for managing patient appointments, handling patient registration, processing payments, and maintaining electronic records within a dental public health setting. The assistant will ensure efficient clinic operations by preparing documentation, communicating with patients, and coordinating referrals. A key aspect of the role involves verifying patient eligibility for programs and managing administrative tasks to support the dental clinic.

Requirements

  • High school diploma or equivalent.
  • Two years of full-time customer service and/or clerical/office experience.
  • Valid driver's license.
  • Ability to successfully complete a Tennessee Bureau of Investigation (TBI) background check.
  • Strong computer and data-entry skills.
  • Strong communication, organization, and customer service skills.

  • Active Tennessee RDA license.
  • Dental front office experience.
  • Knowledge of dental terminology.
  • Experience with dental scheduling.
  • Familiarity with insurance coding.
  • Experience with electronic dental records.
  • Patient registration and referral coordination experience.

Responsibilities

  • Schedule and manage dental clinic patient appointments.
  • Inform patients of visit requirements and required documentation.
  • Register patients and collect/update demographic information.
  • Review documentation to determine eligibility for applicable federal and state programs.
  • Enter and retrieve information using health department management information systems.
  • Process payments, maintain the cash drawer, and balance transactions.
  • Explain client rights and responsibilities related to program participation.
  • Obtain required prior authorization before releasing medical information.
  • Assist with insurance prior authorization by gathering and submitting required documentation.
  • Prepare appropriate forms and documentation to support efficient clinic operations.
  • Scan and index records into the electronic dental record.
  • Conduct patient reminder and follow-up calls.
  • Assist with referral coordination and other administrative duties.
  • Maintain a positive, professional, and cooperative work environment.
  • Travel throughout the region as required.
